Located in the northwest of Saudi Arabia in the region of Tabuk just 50km from the coast, TROJENA will be a destination like no other on earth. Based upon the principles of eco-tourism, facilities will include a folded vertical village, a lake with water sports and event facilities, high altitude ski village, observatory, world leading health and wellbeing facilities and a nature reserve which will be home to unique wildlife, heritage sites and exploration opportunities. With over 3,600 hotel, 2,200 homes, 9 iconic buildings and 100 world class indoor and outdoor experiences Trojena will become the ultimate mountain destination. Bechtel will provide a full range of project management services to assist the delivery of this iconic destination.Position SummaryThe Facilities Coordinator provides a variety of specialized administrative support in the office and camp through research, complex analysis & coordination reporting to the Facilities Manager.ESSENTIAL JOB DUTIES: The main scope of the work covers:
  • Office Services
  • Workstation Plan/Allocation and maintaining the office workstations Master File.
  • Office Supplies (stationary etc.)
  • Assisting the Facilities Manager with providing support to the Logistics/Construction Department during the design and construction stage of the camps
  • Assisting the Facilities Manager with the tendering of the O&M Contract
  • Overseeing the Performance of the Operation & Maintenance Contract
  • Assisting the Facilities Manager with documenting and presenting progress of work completion in the construction of camps.
  • Ensures Health and Safety in the camps and offices are compliant and meets the standards.
The role requires excellent interpersonal to be able to interface with different stakeholders (cluster directors, supervisors, customer representatives etc.). In addition, coordinating between the Accommodation and Transportation departments to ensure employees are housed close to their work offices and to ensure transportation is in place to move employees from their accommodations to their offices.Prepares reports and studies of an analytical nature, such as organization planning and workload forecasts to include charts and graphs. May prepare or provide input to daily work planning. Provides administrative input regarding the design, implementation, and enhancement of automated systems. Responsible for data management (entry, update and quality) of program data. Organizes material for meetings, presentations. Helps coordinate furniture and space allocation, space planning, and needs, such as telephone, word processing, and mail service.Job KnowledgeExcellent written and oral communication skills with English Language and preferably Arabic. Ability to extract, compile, and analyze non-technical and semi-technical data for complex reports. Advanced Excel skills (pivot tables, vlookup, charts/graphs) excellent PowerPoint skills (graphics/visualization). Demonstrated knowledge of all administrative functions. Ability to provide direction to other personnel Knowledge of Bechtels organizational structure, functions and procedures Operation of Bechtel standard computerized systems and other information transmission systems.Basic QualificationHave a combined minimum of 10 years experience of Office Facilities and Camp administration. Demonstrate a high degree of individual initiative, discretion and diplomacy. Be able to organize and prioritize administrative deliverables. Have strong interpersonal and customer service skills. Have ability to work flexibly and collaboratively across all levels of the organization. Advanced analytical ability to build and maintain spreadsheets and presentations. Advanced knowledge of common office procedures and tools (MS Outlook, MS Word, MS Excel, MS Power Point) Advanced skills in conference/meeting arrangements. Experience in preparation of meeting minutes and/or notes. Have ability to work overtime with little notice. Must be flexible and able to accept and quickly.Preferred QualificationsDemonstrated ability to plan, organize, and track/status activities. PowerBI dashboard. Prepares reports of a non-technical or a semi-technical nature.
