WFP supports children across Syria with healthy meals and snacks at school, mothers with nutritious diets, and families and communities with sustainable livelihood projects.ORGANIZATIONAL CONTEXTThe Business Support Assistant (Fuel Management) will work in the Administration?Unit within Syria Country Office and will be based in Damascus.?JOB PURPOSETo act as the Fuel Management focal point both in the Country Office and Field Offices.KEY ACCOUNTABILITIES (not all-inclusive)

  1. Responsible for the receipt, storage, filling, internal handling, and shipment of fuel between locations
  2. Supervise all fuel tanks/pumps locations in Damascus with the needed safekeeping of equipment?s status with the proper reporting of maintenance whenever needed
  3. Plan and schedule site activities to optimize resources and facilities to meet the performance specifications
  4. Prepare and submit reports or other verifying documentation to direct supervisor as required for both local contract requirements and WFP requirements.
  5. Follow up on supporting other UN agencies fuel requests/demands and properly manage the cost recovery processes, along with preparing needed documentations and approvals.
  6. Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  7. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  8. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  9. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  10. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  11. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
  12. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
  13. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  14. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
