WFP supports children across Syria with healthy meals and snacks at school, mothers with nutritious diets, and families and communities with sustainable livelihood projects.JOB PURPOSETo coordinate and support the effective delivery and maintenance of client focused , quality administrative services for asset management, travel servicesKEY ACCOUNTABILITIES (not all-inclusive)Within the delegated authority , the Administration Associate will be responsible for the following duties:1. Verify resource requirements in the area of responsibility SYCO Asset Management Focal Point & Global Equipment Management System (GEMS) Focal Point, as well as all the activities related to asset management managing the USD 20 million assets, and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.2. Manage and support the Local property survey board (LPSB) for all SYCO disposal of assets, as per WFP rules and regulations and compile and prepare reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.3. Train and supervise staff throught the SYCO and field offices in the area of asset management4. To supervise the travel fcoal point , ensuring timely and proactive work methods are met, ensuring value for service when booking National and international flight. Ensure Trip releases in WINGS and WeTravel are conducted in a timely manner . Ensure TEC?s and TA?s are prepared and released in coordination with Finance to finalise all payments. Assit in the preparation of office budget on travel and update annual travel budgets as necessary. Ensure the above is carried out in accordance with travel Directive RMM/2017/001 and associated updates5. Contribute to the development of the unit annual work plans and the implementation of Administrations policies, systems and procedures to meet WFP strategic objectives.6. Manage customer service surveys quarterly as to ensure the efficiency and effectiveness of the Administration services are up to standard7. Contribute to planning, monitoring and processing administrative actions related to procurement, finance, including contracts with external vendors to ensure all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues addressed.8. Adapt and update administrative processes, supporting the implementation of operating procedures, in order to contribute to the continuous improvement of administration services in the area of responsibility.9. Respond to queries related to the provision of administrative services in order to support the resolution of daily issues.10. Coordinate with the staff to ensure individual and team objectives are met in compliance with all relevant regulations, policies, and procedures, and performance plan.11. Guide, supervise and provide training and guidance to junior staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clientsPerformance Indicator:1.
