Job Description

ORGANIZATIONAL CONTEXTThese jobs are found in WFP Aden at Discharge Ports and report to head of Supply Chain and the Shipping Officer and. Job holders operate with a high degree of independence, to ensure effective shipping operations and are heavily involved in day?to-day activities and analytical work.JOB PURPOSETo contribute and support to the Port operations by daily planning and coordination of WFP Port/shipping operations including monitoring of services provided by contracted external organizations to ensure cost-effective operations and that set objectives are achieved in full.KEY RESPONSIBILITIES1. Support management of Port/Shipping operations following standard processes and contribute, directly or indirectly, to the effective delivery of food assistance to beneficiaries.2. Coordinate with the WFP shipping agents/ Port authorities and service providers for prompt berthing and smooth loading operations.3. Oversee that the proper documents are received and submitted to local authorities prior to vessel arrival to ensure no delays in cargo clearance and vessel loading and discharge arrangements4. Liaise with WFP?s cargo superintendent company and /or vessels port representatives prior to the vessels arrival to protect WFP interests during the vessel operations and to ensure full quantity in good condition is always loaded /discharged.5. Liaise between ship?s crew and shore resources to ensure max efficiency of cargo operations.6. Ensure that all required documentation, such as SOF, Notice of Readiness, Letters of Protest etc., are submitted / accepted correctly as per C/P. and communicated WFP shipping Rome in timely manner. Assure a correct recording and timey submission of Statement of Facts.7. Contribute to consolidation and planning of shipments, and to the management of operational aspects of all chartered and/or liner vessels, cargoes, including checking document readiness, loading and discharging operations and contracting of stevedoring services as applicable.8. Contribute to the collection and analysis of data through market analysis, research and networking with colleagues, and contribute to recommendations for improvement of Port and shipping operations.9. Collate data and contribute to preparation of accurate and timely reporting, including Key Performance Indicators (KPIs), supporting a WFP-wide view of shipping activities that enables informed decision-making and consistency of information presented to stakeholders.10. Support productive partnership building with supply chain colleagues and staff within the area of assignment to support efficient Port/shipping operations.11. Participate in the on-going review of internal processes and procedures and identify ways to increase the day-to-day efficiency of the teams.12. Follow emergency logistics preparedness practices to ensure WFP is able to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis.13. Where supervisory responsibilities apply, adhere to WFP standard performance management guidelines and practices to contribute to achieving service objectives and to promote staff learning and development.14. Any other duties as maybe assigned.
