Roles & ResponsibilitiesThe Transport Coordinator is responsible for managing the day-to-day transportation operations across construction projects, ensuring the safe, timely, and efficient movement of employees, management personnel, and materials. The role oversees the allocation and scheduling of buses, pickup vehicles, SUVs, and HOD vehicles, while coordinating staff pick-up and drop-off, site transportation, vehicle utilization, driver deployment, and fleet compliance to support uninterrupted project operations.Key ResponsibilitiesFleet & Transport OperationsCoordinate the daily deployment of buses, pickup vehicles, SUVs, and light commercial vehicles across multiple construction sites.Prepare and manage daily transport schedules based on project manpower requirements.Coordinate staff pick-up and drop-off between accommodation camps, offices, and project sites.Allocate dedicated vehicles for HODs, senior management, project managers, and business meetings.Coordinate transportation for visitors, consultants, clients, and VIPs.Ensure adequate transportation during shift changes, overtime, weekends, and emergency operations.Arrange additional transportation during manpower mobilization and recruitment drives.Vehicle Allocation & Fleet UtilizationMonitor the utilization of buses, pickups, staff vehicles, and HOD vehicles to maximize fleet efficiency.Coordinate vehicle assignments based on project priorities and operational requirements.Optimize routes to minimize travel time and fuel consumption.Maintain vehicle movement logs, trip sheets, GPS tracking records, and daily fleet status reports.Monitor vehicle availability and downtime.Driver CoordinationPrepare daily driver rosters and vehicle assignments.Coordinate driver attendance, leave replacements, and overtime requirements.Ensure drivers possess valid UAE driving licences and comply with company policies.Conduct driver briefings regarding safety, defensive driving, and operational requirements.Maintenance & ComplianceCoordinate preventive maintenance and periodic servicing for all company vehicles.Monitor vehicle fitness, registration renewals, insurance, permits, and Salik requirements.Coordinate repairs with workshops to minimize vehicle downtime.Ensure vehicles are clean, roadworthy, and compliant with UAE RTA regulations.Maintain complete fleet documentation and service history.Safety & Emergency ResponseEnsure transportation operations comply with HSE standards.Coordinate emergency transport for site incidents, medical emergencies, and breakdowns.Investigate transportation-related incidents and recommend corrective actions.Ensure all buses and vehicles are equipped with emergency and safety equipment.Administration & ReportingPrepare daily, weekly, and monthly fleet utilization reports.Monitor fuel consumption and identify opportunities for cost optimization.Track transportation costs, vehicle mileage, maintenance expenses, and driver performance.Coordinate with HR regarding employee transportation requirements.Liaise with Project Managers, Camp Administration, Plant Department, Procurement, and HSE teams to ensure seamless transport operations.Desired Candidate ProfileExperience5?8 years of experience in fleet or transport coordination within a large construction company.Experience managing heavy buses, pickups, SUVs, and staff transportation.Familiarity with large workforce transportation (500+ employees) is preferred.Strong understanding of UAE transport regulations and fleet operations.QualificationsDiploma or Bachelor's Degree in Logistics, Business Administration, Supply Chain Management, or a related discipline.Required SkillsFleet and transportation planningHeavy vehicle scheduling and coordinationStaff transportation managementDriver deployment and supervisionRoute optimization and trip planningFleet maintenance coordinationGPS and fleet management systemsMicrosoft Excel and ERP systems (SAP, Oracle, etc.)Strong coordination and communication skillsCost control and fleet utilization analysisKnowledge of UAE traffic and transport regulationsAbility to manage multiple projects and urgent transport requestsKey Performance Indicators (KPIs)On-time staff pick-up and drop-off performanceFleet utilization percentageVehicle availability rateTransport request response timeReduction in vehicle downtimeFuel consumption efficiencyPreventive maintenance complianceDriver attendance and deployment efficiencyNumber of transport-related complaintsNumber of transport-related incidents/accidentsFleet operating cost per vehicleCompliance with vehicle registration, insurance, and permits.
