Job Description

JOB PURPOSE: The Senior Autoline Specialist ensures optimal performance and support of the Autoline Dealer Management System (DMS) to enhance dealership operations, drive process improvements, and maintain data integrity across departments.KEY RESULTS AREAS / DELIVERABLES AND KEY ACTIVITIES: PERFORMANCE, RELIABILITY, AND MAINTENANCEEnsure consistent system performance, minimize downtime, and maintain data integrity through regular monitoring, updates, and audits.

  • Monitor system performance and proactively address potential issues.
  • Apply regular updates, patches, and security measures to maintain system stability.
  • Conduct routine audits to ensure data accuracy and system integrity.
  • Perform regular backups and ensure system availability during critical dealership operations.
SUPPORT, TRAINING, AND ADOPTIONProvide timely technical support, deliver effective training, and promote system adoption to enhance user proficiency and satisfaction.
  • Serve as the primary contact for troubleshooting Autoline-related issues and escalating complex problems when necessary.
  • Develop and deliver training programs tailored to staff needs.
  • Create and maintain user manuals, guides, and training materials.
  • Gather feedback from users to improve support services and training initiatives.
  • Handle the communication between Keyloop & Almana Group.
CONFIGURATION, CUSTOMIZATION, AND INTEGRATIONConfigure, customize, and integrate the Autoline system with other dealership applications to meet business needs and enhance operational workflows.
  • Configure Autoline modules to align with dealership operations (e.g., Sales, Service, Parts, Finance).
  • Customize system features and reports to improve operational efficiency.
  • Collaborate with department heads to identify and implement system enhancements.
  • Manage integrations between Autoline and other systems (e.g., CRM, accounting software), ensuring data flow and compatibility.
  • Document all configurations, customizations, and integrations for reference and future use.
MANAGEMENT, REPORTING, AND COMPLIANCEOversee data accuracy, generate reports for decision-making, and ensure compliance with industry regulations and company policies.
  • Ensure data integrity within the Autoline system by performing regular checks and audits.
  • Generate regular and ad hoc reports for key dealership metrics, including sales, inventory, and financial performance.
  • Perform data imports, exports, and conversions as needed.
  • Ensure system compliance with data privacy regulations and dealership policies by implementing access controls and security protocols.
  • Regularly review system logs and audits to detect and mitigate potential security risks.
MANAGEMENT AND CONTINUOUS IMPROVEMENTLead system projects, drive process improvements, and recommend new solutions to enhance dealership operations.
  • Develop project plans, timelines, and milestones for Autoline-related projects.
  • Collaborate with cross-functional teams to implement new modules, upgrades, and enhancements.
  • Identify opportunities to improve dealership processes through technology.
  • Stay updated on the latest Autoline developments and industry best practices, and recommend system improvements.
  • Ensure timely delivery of projects and communicate progress to stakeholders.
