Job Description

Summary and Objective / Job Context:To manage the administration for Facilities Management Division ensuring that there is consistency across all areas for administration within the division. Performs a variety of office support and/or secretarial duties for a specified division, such as composing a variety of standard documents and correspondence, relaying and resolving routine telephone and/or walk-up inquiries, scheduling calendar items and meetings, making travel arrangements, processing forms, performing data entry, and establishing and maintaining records. Edits and proofreads documents to ensure accuracy.˙Duties and Responsibilities:

  • Serve the needs of the Facilities Management Division though web research, purchasing, payment / invoice processing, and being the primary contact person for a group that is often not accessible during the day.
  • Communicate effectively and professionally with vendors regarding materials, quotes, scheduling, delivery, etc.˙
  • Respond appropriately to e-mail, phone and written inquiries from internal and external customers of the Facilities & Services group; proactively communicate on behalf of the Facilities Management Division.˙
  • Schedule and set up for meetings, events and projects.
  • Send outgoing mail and parcels through most suitable delivery service or through a specially requested delivery service
  • Distribute office supplies as requested.
  • Any other duties as directed by the Facilities Operations Coordinator
