Job Description

The opportunityThe role is in place to be responsible for providing professional and efficient office management support to high profile trailblazing multinational clients. The job holder will be a keen advocate of best practice and employ company policies and procedures as standard working practice. We are hiring an ambitious and forward-thinking office manager to join our established and growing team in Riyadh. Your responsibilities will include:

  • Acting as first point of contact.
  • Creating a favourable impression of the company through provision of a friendly, discrete, helpful and welcoming initial contact to all tenants, visitors and staff.
  • Ensuring that calls are answered in a professional and timely manner and that all enquiries are dealt with in accordance with service standards and response times.
  • Fielding and screening calls where necessary.
  • Managing post and couriers, receiving daily deliveries.
  • Maintaining minimum levels of office supplies and consumables.
  • Documenting management including maintaining hard and soft copy files with particular attention to version control.
  • Assisting with maintaining the policies and procedures and keeping the records up to date and accurate.
  • Demonstrating attention to detail and ownership of the processes relating to the area(s) of responsibility.
  • Supporting and promoting a teamwork approach within the Mace team and with the service provider teams.
  • Resolving problems and complaints where possible - Aim to handle all queries within the bounds of own knowledge and experience and take decisions on when to escalate issues.
  • Ensuring reception area is always neat and tidy.
  • Ensuring that any faults (cleanliness, general maintenance issues, office equipment not working) are reported and managed.
  • Allocating job cards for general maintenance issues and out of hours requests.
  • Demonstrating a customer focused attitude to all customers (internal and external).
  • Reporting immediately any non-conformance, unsafe act or unsafe condition to the facilities team for investigation and corrective action.
  • Reporting immediately an injury or illness whilst at work, or any episode where they are directly involved in or witness any serious incident, dangerous occurrence or significant environmental pollution incident.
  • Handling corporate events by assisting with set up venue and provide necessary assistance.
About youYou will have a relevant degree qualification and be a member of a professional body. You have extensive experience as an office manager. You are digitally savvy, can build lasting client relationships, and lead strong, motivated teams. You will have a construction or project management background and be hungry to grow your career and enjoy the opportunities Mace have to offer. #LI-Onsite
