Faculty Affairs AdministratorLocation:Saudi ArabiaPosition Summary:The Office of Faculty Affairs provides centralized, comprehensive support for all KAUST faculty (both Saudi and international), and supports broad administration requirements for all academic divisions, including the engagement and recruitment of prospective faculty. The Office manages policies and procedures related to faculty appointments and promotions, as well as a range of programs dedicated to faculty development and success. The Office also oversees the newly established and rapidly growing Ibn Rushd Postdoctoral and Professorship program, which creates a pipeline of highly qualified and globally experienced Saudi faculty and academics for KAUST and Saudi Arabia. The Faculty Affairs Administrator will be crucial in the successful administration of key Office activities. He/she will, as needed, serve as a liaison and point of contact/communication between the Office and KAUSTs academic divisions, faculty leaders, consultants and external partners, to ensure the successful implementation of programs and activities under the Office.Major Responsibilities:* Working with the management and divisional teams, the specialist will provide support and contribute to implementing plans relating to faculty promotions, annual review, leave of absences, sabbatical leaves and academic on-boarding and off-boarding.* Works with various stakeholders to set up Promotions and Appointments Committee meetings.* Maintains Promotions and Appointments Committee files and drafts formal letters to faculty candidates.* Creates and maintains information on faculty candidates for presentation to the Board of Trustees and other units as needed.* Updates faculty profiles on KAUST webpage.* Maintains the Faculty Affairs webpage.* Drives the processes in appointing Visiting Professors, and bringing Sabbatical Visitors for the Divisions.* Provides regular information on faculty affairs activities and work closely with HR, faculty members, and other units in the University on issues relating to faculty.* Develops and maintains the annual faculty report, faculty databases and dashboards and communicates information with various stakeholders.* Coordinates orientation for new faculty and relevant faculty development events and sessions.* Assists Divisions with implementing the faculty application tracking system, Interfolio.* Support the faculty affairs office in day to day administrative activities and being familiar with all guidelines of all categories of faculty (lecturers, distinguished professors and courtesy professors).* Supports the Ibn Rushd program through coordinating the application process, managing the webpage, organizing events such as orientations, meet-ups, communication platforms.* Develop and maintain a Project Management System to track Ibn Rushd candidates with periodic checks on status.* Manages stipend payouts and other benefits and any logistical matters for the Ibn Rushd postdoctoral fellows.* Other duties as assigned.Competencies:* Demonstrable organizational and time management skills.* Strong project management skills.* Strong interpersonal, communications and presentation skills.* The ability to write, interpret and make recommendations on Policy.* Methodical and organized approach to work.* Ability to handle confidential information.* Strong interpersonal, communications and presentation skills* Ability to work in teams and independently.* Flexible approach to work.Qualifications:EducationBS + experience in business administration or related field.
