Job Description

The role holder is responsible for managing the end-to-end process of expenses and third-party payments administration which includes developing expenses policy to guide employees, recording and following up on employee expenses, checking and archiving receipts for employee expenses and consolidating all reimbursement data in coordination with the Finance Sector and stakeholders from HR Sector to ensure compliance to financial control guidelines. The role holder shall carry out job duties in accordance with the stipulated business policies and procedures.- Participates in the development and implementation of the Compensation Services plans, in line with the corporate objectives.- Directs and manages the Expenses and 3rd Party Services Section mandates, providing leadership and facilitating work processes in order to achieve high performance standards.- Interprets and implements change in the Expenses and 3rd Party Services Section providing guidance and support, necessary for continuous improvement.- Ensures compliance with organizational policies, procedures and quality standards in Expenses and 3rd Party Services Section.- Develops guidelines, policies and procedures governing expenses and 3rd party services in coordination with key stakeholders from the Policies Department and Rewards Department of the People Sector.- Manages the implementation of expenses and 3rd party services policies to ensure compliance of employees? expenses with working policies.- Manages all processes and operations related to end-to-end expenses administration which includes and not limited to; processing payments for business trip, training, overtime, allowances and loans, managing payment for end-of-service entitlements to employees, along with managing salaries payments for free lancers contractors, to ensure adherence to financial control guidelines and accuracy in payment disbursement.- Provides relevant support and technical guidance to all employees for resolving queries related to expenses.- Ensures that all data related to employee expenses is recorded as per established financial control guidelines to assist in reconciliation of information as and when required.- Manages and ensures that all receipts submitted by employees for claiming expenses are checked and achieved for reconciliation in the future.- Liaises with relevant stakeholders from the Finance Sector to consolidate and reconcile all data pertaining to reimbursement of expenses in line with financial control guidelines.- Manages all operations related to deductions from employee salary like absence, shortness, lateness, vacations deductions, also any other deductions- Manages all processes and operations related to end-to-end third party compensation services to ensure adherence to financial control guidelines and accuracy in payment disbursement.- Coordinates with employees on all matters pertaining to payments for all third-party services utilised for business operations.- Ensures adequate data is collected on third-party services to safeguard the interests of STC.- Liaises with the Finance Sector to coordinate all matters related to issuance of payments to third-party vendors.- Coordinates with relevant employees to ensure that all details pertaining to third-party services are updated in the database. - Develops policies and procedures related to expenses and 3rd party services in coordination with HR Policies & Total Rewards Departments, and ensures compliance of employees expenses with working policies.- Defines goals and key performance indicators for each member of the team and ensures effective application of the STC performance management process.- Directs planning and selection of manpower in the Expenses and 3rd Party Services Section, in line with the business and operational plans.- Ensures high level of employee engagement and capability development by providing on - going feedback and coaching team members within the Expenses and 3rd Party Services Section.- Performs other responsibilities and tasks as directed by the Compensation Services in order to meet objectives.
