Job Description

Job Purpose:

  • The Document Controller is responsible for ensuring that document management procedures and systems are utilized and applied for all physical and electronic documentation across departments and across all projects within WTTCO.
Key Responsibilities:
  • Organize tasks and implement policies, processes, procedures, forms and tools
  • Identify opportunities for continuous improvement of processes and practices taking into account leading practices
  • Escalate problems to ensure case/issue is closed efficiently and in a timely manner
  • Document folders and user rights, naming and numbering, versioning, distribution as well as review and approval flows for documents, etc.
  • Receive and register incoming and outgoing documentation (from/to other departments, from consultants, from contractors, etc.)
  • Maintaining Minutes of Meetings (MoM) for all meetings (kick-off, weekly progress meeting, interface related meetings, etc.)
  • Maintain master documents including master list of engineering deliverable
  • Investigate the compliance with the document management procedures (including folder structure, document naming / numbering, MoM, etc.), to advise and provide needed support to concerned stakeholders
  • Conduct inspections to confirm the proper application of the document management procedures
  • Implement and administer a world class electronic document management system for WTTCO
  • Provide support for setting-up and utilizing electronic document system for each department and project (e.g. for setting-up a new project)
  • Ensure that the departments and projects are properly utilizing the document management system
  • Prepare the reporting on the overall document management activities of WTTCOs capital projects across different stages, as required by the relevant procedures and guidelines
  • Ensure full understanding of all aspects of document controlling across all projects, requesting continuous updates from project teams on actual progress achieved
  • Suggest improvements to the document management procedure and associated IT systems, tools and templates
  • Keep abreast of regional and international trends in document controlling to identify best practices that may be adapted for use to improve performance
  • Support peers across the organization when needed to perform their duties
  • Perform any other activities as and when required
Qualifications:
  • Bachelors degree in business administration or in any related field
  • 1-3 years of experience within the field
