Reports ToChief Executive Officer / Senior ManagementJob SummaryThe Executive Assistant / Secretary provides high-level administrative and organizational support to senior executives. The role requires professionalism, discretion, strong communication skills, and the ability to manage multiple priorities efficiently while ensuring smooth daily operations of the executive office.Key ResponsibilitiesAdministrative & Executive SupportManage executive calendars, appointments, meetings, and travel arrangementsAct as the primary point of contact between executives and internal/external stakeholdersPrepare, review, and manage correspondence, reports, presentations, and official documentsScreen calls, emails, and requests, prioritizing urgent mattersMeeting & CoordinationOrganize meetings, prepare agendas, take minutes, and follow up on action itemsCoordinate with departments to ensure timely completion of executive tasksArrange conferences, events, and executive visits when requiredDocumentation & RecordsMaintain organized filing systems (electronic and physical)Handle confidential information with the highest level of discretionDraft letters, memos, contracts, and official communications as requiredOffice & Operational SupportSupport day-to-day office operations related to executive managementMonitor deadlines, commitments, and key deliverablesAssist in special projects and assignments as directed by managementQualifications & RequirementsBachelor’s degree or diploma in Business Administration or related field (preferred)Proven experience as an Executive Assistant, Secretary, or similar roleExcellent written and verbal communication skills (English required; Arabic is a plus)Strong organizational and time-management skillsProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Ability to work under pressure and manage multiple tasksHigh level of professionalism, confidentiality, and attention to detailKey CompetenciesCommunication & interpersonal skillsProblem-solving and initiativeAttention to detailConfidentiality and integrityTime management and multitasking
