Job Description

Job Purpose:Setting administration policies, procedures, and quality management systems for the various functions of NCBIS to ensure the effectiveness, efficiency and smoothness of the workflow of the day-to-day operation. Directly manage the Facility Departments (Maintenance, Transportation, Housekeeping, H&S and Canteen)Reporting to:Executive Business Director??Job Duties:

  • Preparing the yearly financial budget for all departments.
  • Setting administration guidelines for NCBIS to ensure the safety of all students and staff on premises.
  • Head the HS&E committee to ensure that the school site is safe in terms of health and safety.
  • Ensuring that the school site, including sports facilities, is well cared for and maintained.
  • Preparing a manpower plan for all department headcounts.
  • Ensuring that all departments have the appropriate equipment in order to carry out their jobs to a high standard.
  • Establishing and overseeing a training plan for all departments.?
  • Acting as the project manager of NCBIS for facilities contracts according to the school policy to include market survey on prospect design offices vendors, contractors, suppliers and setting the criteria of selection and tender process to ensure required service is delivered according to quality standards, on time and within budget.
  • Coordinate with the procurement department for drafting and issuing all facility service contracts terms and conditions, and coordinate with bidding committees to award the final contract to the selected contractor, vendor or supplier.
  • Issuing monthly reports to the Executive Business Director concerning contract service delivery, budget and cost, penalties, non-conformity against contract and recommending corrective & preventive action, to ensure the delivery of the projects within the approved time frame, quality standards and budget.
  • Create a cost-saving plan.
  • Set and monitor the head of department objectives and KPIs while reviewing staff set objectives to ensure maximum performance, productivity and effectiveness of the division.
  • Coach and set training development plans for the team to ensure the growth and development of the division.
  • Foster a high level of staff morale.
