Job Description

Overview / ResponsibilitiesWood is currently looking for a Mobilisation Administrator with experience in a similar role to join our office in Dubai, UAE.Key Role Specific Responsibilities:

  • Serve as the first point of contact for all new hires joining the company.
  • Ensure all pre-employment criteria are met prior to employee mobilizing.
  • Ensure all relevant mobilization documents are valid & received prior to employee mobilization.
  • Enter, update & manage online or manual employee database trackers, mobilization status tracker, visa trackers, mob / demob list, contact details list, Master roster etc.
  • Maintain data integrity; ensure data is correct and consistent and regularly always updated.
  • Update ER cards & any other mobilization related travel document on regular basis and share it with the employees on time-to-time basis.
  • Provide miscellaneous administrative support as required by PM?s & mobilization team where it is connected to P&O function
  • Maintain online filing system and overall confidentiality levels associated.
  • File and organize employee personal documents both hard and soft copy.
  • Audit personnel files to ensure compliance with ISO filing standards.
  • Coordinate & book travel and accommodations for new joiners
  • Ensure to check the validity & applicability of all flights in line with the global travel policy.
  • Work within the Mobilization team and cross functionally as required
  • To provide admin support to our Client, including mobilization plans for in-country staff
  • Coordinate IT arrangements critical for Asset Team delivery
  • Coordinate travel and desk moves for Asset Team personnel
  • When required attend meetings for minute taking and issue of MoM?s
  • Own and update Asset Team Holiday Tracker
  • As required, update office space tracker and coordination of desk moves for Asset Team
  • Issue Asset Team Communications
  • As required, ensure timesheets are correct and submitted on time
  • Support effective collaboration between personnel from different department functions within Asset Team
