Looking for a document controller who is managing and maintaining an efficient document management system for the organization. All project-related documents are properly categorized, archived, and easily accessible. He needs to work with project managers, engineers, and other staff to ensure that all documentation are accurate, up-to-date, and compliant with company standards.Key Responsibilities:– Organize and maintain both physical and electronic documents.– Ensure proper categorization, naming, and filing of all documents according to the organization’s document control procedures and log them in the VDRL tracker.– Coordinate the flow of documents between departments, ensuring accuracy and timely distribution.– Implement and maintain document control systems to ensure the version control and approval processes are followed.– Monitor the progress of document submissions and approvals.– Maintain records of all documents, including drawings, specifications– Collaborate with project teams to ensure timely submission, review, and approval of project documents.– Communicate any updates or changes in document status to relevant teams and stakeholders.– Implement an efficient and systematic method for retrieving documents quickly and easily.– Ensure secure storage and backup of all documents to avoid loss or damage– Maintain accurate records of documents and generate regular reports for management on document status, compliance, and any outstanding issues.– Track and report on document review and approval progressQualifications and Skills:– A high school diploma is required; a bachelors degree in a related field is preferred.– At least 2–3 years of experience in a document control or administrative role, preferably in a technical or project-based environment– Strong knowledge of document control procedures, practices, and systems.– Excellent organizational and time management skill– Attention to detail and accuracy in handling documents.– Ability to work under pressure and meet deadlines.– Strong written and verbal communication skills– MS Word and MS Excell– Familiarity with electronic document control software (e.g., Aconex or similar) is advantageous.– Ability to maintain confidentiality and handle sensitive information.
