Job Description

POSITION: Project CoordinatorREPORT TO: General Manager: Saudi, Bahrain & Middle East NorthLOCATION:Riyadh, Saudi ArabiaDIVISION:Abbott Diabetes CarePRIMARY OBJECTIVE:Were looking to build our team with a high caliber Project Coordinator to partner with the team and help shape the strategy for growth. Reporting to GM you will work across the leadership team wear multiple hats, managing a variety of projects and tasks at any given time, and ensuring nothing falls through the cracks.The ideal person has shown an ability for high level teamwork while also delivering best-in-class execution.KEY RESPONSIBLITIES:Project Coordinator:Participate in project design meetings and propose improvements if necessary. Evaluate potential challenges and work with responsible team to develop mitigation plan. Plan and manage team goals, project schedules and new information. Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored. Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails. Communicate with senior managers to identify and define project requirements, scope and objectives. Coordinate diary management, and composition of communications, letters, memos, emails etc, on a need basis. Monitor and redirect, where appropriate. Schedule, co-coordinate and organize conferences/meetings as required, both internal and external customers. Operate and maintain files, always ensuring security/confidentiality. Close liaison with both Abbott internal personnel, in-country, region, and external customers. Prioritize and effectively manage time (time management) to ensure that a given task is completed efficiently. Maintain training/seminar documentations, records, and certifications and attendance data bases. Review documentation related to PSAs, sponsorships, purchase orders and invoices from the vendors. Monitor sampling documentation and reconciliation with MediServ on monthly basis! Run DPS screening for all customers on regular basis. Control SFDA reporting with CFS. Any other added secretarial and administrative duties that may arise.EDUCATION/ QUALIFICATION/ EXPERIENCE:

  • Bachelor in Business or Secretary or similar - Experience working with finance is preferable.
  • Minimum 3 years experience in an administrative role in a corporate environment, preferably with exposure in multinational companies.
  • Excellent communication and interpersonal skills deep empathy and the ability to quickly connect and build trust with people across an organization and work collaboratively across lines of difference.
  • Proficient in the use of Microsoft Applications (Word, Excel, PowerPoint) - advanced word processing, excel and presentation skills.
  • Proactive-ness, a team player and contributor.
