Job Description

ORGANIZATIONAL CONTEXTThese jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Associate, or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate.At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.JOB PURPOSEAll cooperating partners distribution reports (CPDRs) require thorough review and reconciliation against internal plans to be cleared. They are reports on activities conducted by WFP partners in charge of implementing WFP activities in the field. The responsibility to manage the CPDRs clearance/reconciliation process falls on the monitoring and evaluation unit. The incumbent will be part of the team in charge of managing these processes and will report directly to the monitoring and evaluation senior associate leading the output team.?KEY ACCOUNTABILITIES (not all-inclusive)

  1. Regularly follow-up with partners to ensure timely submissions of the monthly distribution reports (CPDRs) along with vetting and quality assurance of the submitted partners? reports.
  2. Support the invoice clearance process by certifying the distributions? figures and confirming accuracy of delivery figures in close coordination with logistics, area offices, call centers and other internal information sources.
  3. Coordinate with COMET team on the timely entry of distribution reports/CPDRs into COMET system.
  4. Conduct a second level review of all submitted CPDRs after the first level review by CPDR focal points at area offices before submitting for final clearances.
  5. Regularly follow up with all relevant focal points at area offices, country office and/or with partners on submissions of CPDRs, gather required information relevant to the clearance/reconciliation processes, seek feedback on the reporting templates/procedures and provide technical advice and support when needed.
  6. Provide support for output data collection and reporting to Monitoring unit.
  7. Maintain information records and a well-documented archive of all cleared CPDRs and relevant supporting documents on WFP internal share drive and/or other archiving systems.
  8. Maintain track of all cleared/uncleared CPDRs and regularly update the CPDRs tracker on WFP share point.
  9. Perform any other task as required??
