Job Description

Responsible for implementing all F&B related procurement & logistics activities as per the set policies and procedures, ensuring the fulfillment of?the company?requirements and the quality of purchased items in compliance to set quality standards.

• Establish an approved F&B supplier list and update the same regularly to ensure that purchases are done at the best prices, payment terms and quality available in the market.
• Receive PR?s from the F&B Division, input and forward the same into the system to process the necessary invoicing.
• Prepare and issue F&B Purchase Orders (POs), F&B Request of Quotations (RFQs), F&B Request for Proposals (RFPs), and other related F&B Procurement documents.
• Obtain quotations from F&B suppliers or F&B vendors for the received F&B PR?s and ensure its alignment to the set standards.
• Receive and forward the F&B supplier quotations to the requesting F&B Division to conduct relevant technical evaluation and approval.
• Maintain a comprehensive record system for all F&B related requisitions, F&B PO?s, and F&B product specifications.
• Follow-up on payments of local F&B vendors and companies and report any discrepancies to the Direct Manager
• Supervise the import and export activities while ensuring adherence to all import and export laws & regulations.
• Follow up on all incoming shipments for?the company?to ensure all are managed correctly, accurately, efficiently and promptly, ensuring clearance is done without incurring demurrage.

• Liaise with the customs clearance broker & transporter in KSA concerning transport procedures for the shipment of?the company?goods from receiving the shipping documents until the delivery of the Sea/Air shipments to the required location.
• Ensure the safety of products in all deliveries and recommend the best means of transport as per customer requirement, in coordination with the Logistics Manager.
• Supervise & ensure that shipper has provided with all the shipping documents for the smooth customs clearance of the import shipments.
• Follow up and monitor representative has got it done the preliminary approvals (SFDA) before the arrival of the shipment at the KSA customs.
• Supervise that the field representative is performing his duty as per the assigned tasks and report to his direct Manager accordingly.
• Ensure the that filed representative has sufficient petty cash in hand for daily clearance of the shipment from the airport customs in coordination with the Finance team.
• Supervise and ensure tracking sheets are developed and updated daily with shipment status and sent to the Logistics Manager regularly, as required.
• Coordinate with a third-party shipping company about invoice collection and keep a record of all invoices to ensure timely payments.
• Control all inbound delivery to w/h in coordination with the store team.
• Stay up-to-date with the latest customs clearance/SFDA import rules & regulations and communicate them to the Logistics Manager.
• Resolve any arising issues concerning shipment and escalate critical issues to the Logistics Manager for support.
• Update the shipment expenses and confirm the Inventory team to process the GRN.
• Arrange the Insurance of the shipments. Follow up with the insurance company for the settlement of the insurance damage claims.
• Ensure the posting of the shipment charges are booked on time and report to the Finance team in case of any discrepancy.
• Follow up the local supplier payments with Finance team.
• Translate required clearance documents from English to Arabic and vice versa, and prepares required documentation in Arabic such as export/import document, landed costs, etc.
• Ensure adequate logistics execution through contingency planning and continuous logistics preparedness.
• Coordinate logistics operations with concerned departments/ Clients/ external parties.
• Implement logistics operations related to original shipping documents) management, including:- original docs are compliance with local authority rules)- (Keep track on the arrival shipments at the port)
• (Investigate minor problems relating to matters such as service irregularities in shipping documents and inform the status of shipments to the shipper in case of discrepancy in original documents and report the same to the Direct Manager.
• Check with the Admin Dept on the expiry & renewal of the license required for import purpose)
• Instruct the logistic representative for the pending matters with the concerned authorities)
• Provide complete administrative support to all aspects of the logistics processes involved in customs clearance matters).
