***Contract Summary* The Golf division of IMG Events is seeking a Golf Events Manager/ Administration Manager for their Saudi or Dubai office. This role can be based in either KSA (you will need to be a Saudi national) or in Duabi, UAE, in which case you should be willing to travel to KSA through out the working year. The main Purpose of role will be to embrace a wide range of duties surrounding the organisation of The Saudi International and other professional golf events. The role reports to the Director, Golf Key Responsibilities and Accountabilities Overall: * Supporting the Tournament Director for the successful delivery of Saudi International.* Acting as administration manager for the Saudi International in Saudi Arabia.* Responsible for project direction, milestone tracking and ensuring project delivery from coordinators.* Nurturing relationships with clients, partners, and suppliers. Being responsive to, and resolving, issues that they raise in a timely and effective manner.Specific Areas:Accommodation * Liaising and contracting with hotels and other lodging companies.* Day-to-day responsibility of accommodation bookings and management across all locations* Management of guest experience from check in to check out.* Liaising with the hotel on all event related matters, including but not limited to use of function spaces, catering, security, access, staff briefings, room drops and branding.* Creating documentation that relates directly to the accommodation ? costs, blocking, booking etc.* Managing year-round bookings for site visits to King Abdullah Economic City* Full financial reconciliation and budget management of event accommodation. Guest Management Programme * Manage a multi-tier guest management programme for the event.* Create a comms plan and timeline for distribution.* Design and produce documentation, including invitations and mailers to distribute to guests.* Oversee an onsite guest management team, including transport coordinators.* Liaise closely with the client on the guest responses and room allocations.* Manage a multipurpose guest management system year-round. Including necessary upgrades and training of team members.* Create briefing manual for guest management team and front of house hosts.* Brief hostesses and guest management team. Reporting * Monthly status reports to be created for the client* Manage onsite schedule, including meetings agenda and minutes.* Regular updates to the events Logistic Review.* Diary holds and invites for team meetings as well as wider partner / stakeholder meetings Major Event Programme * Managing the logistics for the client?s major event programme. Including accommodation, transport, catering, gifting, tickets, and associated requirements.* Creating budgets, reconciling invoices, and compiling financial reports post events.* Onsite management of client programme during the events, including international travel. Unusual Challenges or Circumstances e.g. shift(s)/ unsocial hours/ travel etc. * Occasional weekend work where you may be required to travel to events in line with the Golf portfolio, including travel internationally. * Outside of event travel there will be a requirement to travel for meetings as part of the role.
