Job Description

Book venues required for the day of the conference and other SLC events, such as Buchanan, Hennings, and Irving K Barber Learning CentreCollaborate with the relevant Planning Committee members on venue requirements and ensure all building contacts are fully informed of capacity and equipment requestsAssess conference needs and assign workshops and presentations to venue locationsCoordinate signage and room set-up in preparation for the ConferenceOversee the acquisition and management of external supplies including tables, chairs, office supplies, and other materials needed by the Planning CommitteeCreate streamlining processes for room booking including room preferences for the day of conference and A/V equipment requirementsManage venue bookings and room assignments based on changing requests, inform all affected parties in a timely mannerSupport event logistics needs on the day of the SLC.Collaborate with Director to give strategic direction to volunteer programming and create timelines for the Coordinator position.Perform tasks to support the portfolio.Attend and participate in the SLC Planning Committee retreats and meetingsContribute to a strong team relationship which emphasizes teamwork and communication.Build strategic relationships with various campus and community partners who support the Conference.Responsibly and accurately manage information through the use of the UBC Survey Tool, Microsoft Excel, and other programs.QualificationsPrevious experience using spreadsheet and database software (Excel, etc.)Willingness to perform tasks within short timeframesAbility to manage high numbers of requestsKnowledge of and experience using a variety of A/V equipment an assetPrevious experience in workshop or event planning an assetDemonstrated ability to communicate effectively with different audiences (students, staff, alumni, community members, etc.), including strong email and phone correspondence skillsStrong public relations, teamwork, and organization skillsEnthusiastic personalityAbility to productively receive and apply feedbackAbility to meet deadlines and work well under pressureStrong interpersonal, organizational, and project management skillsDemonstrated initiative; ability to recognize problems quickly and apply sound solutionsResults-oriented and reliableDemonstrated willingness to learnKnowledge of UBC?s services and resources for studentsPast experience or involvement in campus-related leadership initiatives an assetAbility to responsibly collect and manage information in an organized mannerPrevious experience with all Microsoft Office applicationsEnrolled as a student at UBC, attending classes but not on Co-Op during Term
