Job Description

The Events Coordinator will be part of a specialist team who will coordinate the delivery of live entertainment and events.? The Events Coordinator will provide support to the Head of Events in the area of event planning, organisation and implementation, Front of House management, client interaction and liaison with external stakeholders to ensure a safe and successful event delivery.The job demands an excellent eye for detail and a highly organised approach to event operations. You will have responsibility to ensure the ?behind the scenes? organisation runs smoothly, efficiently and to the highest standards of event delivery.Duties and Responsibilities:

  • Deliver live entertainment and events
  • For allocated events, liaise directly with Event Owners and Organisers to identify their needs and to support the successful delivery of their events.
  • Prepare event plans, leading client meetings, coordinating internal deliverables, undertaking risk assessments, liaising with third-party suppliers, communicating with Government entities, undertaking post event evaluation reviews, preparing contracts, etc.
  • Utilise the Event Booking and Management system and associated operational systems to coordinate each live entertainment event within the venue and maintain appropriate records
  • Attend meetings with clients, event stakeholders and other external parties to improve event delivery and partner integration
  • Liaise with internal colleagues in all relevant aspects of event operations including; finance, procurement, external third-party service providers etc.
  • Contribute to the development of a quality led approach to event and venue operations including developing a robust pre and post event planning and operations ?plan of action?
  • Develop robust policies and procedures for the successful delivery of any event within the Arena and contribute to the completion of Arena documentation
  • Ensure the compliance of every event with all insurance, legal, health and safety obligations in cooperation with the Event Coordinator ? Event Security
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Deputise for the Head of Events when required to do so.
