The ideal candidate is, highly motivated, intellectually curious, analytical, and diligent.Role- Independently perform general administrative duties to support the Division President in day-to-day operations, in areas such as:* telephone coverage, ensuring all calls are promptly answered in a professional manner and that all messages are recorded and forwarded promptly* calendar management, ensuring that meetings are scheduled in a timely manner, taking into account different time zones and operational hours. This includes planning periodic senior management meetings at regional, divisional and functional levels.* complex travel arrangements, which involve coordination with internal and external parties and at short notice* expense reporting* screening and managing correspondence relevant to the Division President?s Office where appropriate and required* general administrative duties including vendor management and maintaining records relevant to the Division President?s Office- Support the Division President in participation in staff meetings, senior leadership regional and global team meetings and external Conferences, includes but is not limited to the preparation of meeting materials, providing logistical meeting support (travel for the jobholder may be required), coordinating with suppliers/vendors for meetings, taking notes and following up on action items related to such meetings where relevant.- Support the Division President in managing senior Executive visits, working in tandem with other management team members and their Business Assistants.- Prepare correspondence; memoranda; reports; presentations or other assigned documentation in specified technical platforms, if required.- Administer programs; projects or processes specific to the Division President?s Office; and maintain spreadsheets or databases to monitor information.- May research special topics as assigned.- Serve as administrative liaison with others within and outside the company.- Develop and produce reports as assigned.- May monitor and coordinate work of other employees or temporary staff.All About YouEducation:?
