Administrative Tasks:úÿManage the reception desk.úÿGeneral office administration.úÿTravel Arrangements, Flight/Hotel Booking for Employees and guests.úÿProvide support on monitoring of international & local travel costs and Expenses reimbursements.úÿLiaison with Jafza, Customs, Chamber of Commerce and other govt agencies (Etisalat, DEWA).úÿTimely renewal of Trade License, Registrations, Memberships, Operations/Safety Certificates etc.úÿMaintain proper records of administrative documents and conduct mandatory trainings/maintenance according to rules and regulations issued by Govt. authorities for the safety and security of the personnel and the Company.úÿIssuance/Renewal/Cancellation of Employee Visa whenever required and maintain proper of employee data as per JAFZA rules.úÿLiaison with Insurance companies for timely renewal of Staff and Office Insurances.úÿCo-ordinate with Finance Dept for timely payment of monthly invoices of Etisalat, DEWA and other utility providersúÿCo-ordinate with Facility management companies for the maintenance and proper upkeep of office and premises.Logistics TasksúÿArrange and maintain Logistics filing system, databases and archive import/Export & stock records as per Dubai Customs/Jafza regulations.úÿPrepare shipping documents (Invoice, Certificate of Origin, Packing list etc) and other documents required contractually or as per LC terms.úÿWarehouse stock keeping & Inventory management & records.Sales & Projects Coordination TasksúÿAssist Sales Managers for documentation of customer enquiries, preparation of offers and periodic reports.úÿAssist Project Managers on Project documentations and preparation of reports.úÿSupport Project Management team for Import, Export and Customs clearance of goods.úÿGet quotations from vendors, manufacturers and select appropriate suppliers for delivery projects.
