Job Description

Job Summary:The Receptionist is responsible for providing a welcoming environment for visitors and clients while performing clerical and administrative tasks to support the efficient operation of the office. This role requires a proactive, organized, and detail-oriented individual with excellent communication skills.Key Responsibilities:

  • Greet and welcome visitors, clients, and employees upon arrival at the office.
  • Answer, screen, and direct incoming phone calls promptly and professionally.
  • Maintain a clean and organized reception area.
  • Provide accurate information in-person and via phone/email.
  • Manage the visitor logbook and issue visitor badges.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers and staff.
  • Prepare and distribute correspondence and emails.
  • Maintain office supplies and pantry by checking stock and ordering new supplies as needed.
  • Handle incoming and outgoing mail, packages, and courier services.
  • Assist with document management, including filing, scanning, and photocopying.
  • Draft, format, and proofread documents, reports, and presentations whenever required.
  • Organize and maintain electronic and physical files.
  • Assist in the preparation of regularly scheduled reports.
  • Coordinate and communicate with internal departments to ensure smooth office operations.
  • Manage the calendar for the Manager/Director and ensure appointments are scheduled appropriately.
  • Address inquiries and provide appropriate assistance or direct to the correct department.
  • Ensure high levels of customer satisfaction by maintaining a professional and courteous demeanor.
