Job Title: Personal Assistant Experience : 2 to 4 years Location : Dubai Languages know : English & HindiReports to: [Executive/Manager/CEO or specific individual] Job Summary:The Personal Assistant will be responsible for providing high-level administrative and personal support to [Individuals Name or Title]. The role includes managing schedules, organizing meetings, handling correspondence, and performing various tasks to ensure the smooth operation of both personal and professional activities.Key Responsibilities: Calendar Management:

  • Schedule and coordinate meetings, appointments, and events.
  • Manage and organize travel arrangements, including booking flights, accommodations, and transportation.
  • Ensure the individual is well-prepared for all meetings and events.
Communication:
  • Handle and prioritize all forms of communication (emails, phone calls, mail, etc.).
  • Draft, edit, and send correspondence on behalf of the individual.
  • Serve as a gatekeeper, screening incoming communications and determining their importance.
Task and Project Management:
  • Assist with personal tasks, including running errands, managing household staff, and overseeing personal projects.
  • Coordinate with other departments or external parties to facilitate projects or events.
  • Track and follow up on action items and deadlines to ensure timely completion.
Document Management:
  • Prepare, organize, and maintain files, documents, and reports.
  • Conduct research and compile data as needed for reports, presentations, or decision-making.
Travel Coordination:
  • Plan and organize domestic and international travel itineraries.
  • Handle all aspects of travel arrangements, including visa applications, itinerary planning, and logistical support.
Personal Assistance:
  • Provide personal support such as shopping, appointment scheduling, and household management.
  • Assist with personal financial management, including expense tracking and bill payments.
Confidentiality:
  • Maintain the highest level of confidentiality concerning all aspects of the individuals personal and professional life.
  • Handle sensitive information with discretion.
Qualifications: Education:
  • A degree in Business Administration, Management, or a related field is preferred but not required.
Experience:
  • Previous experience as a Personal Assistant or in a similar role is highly desirable.
  • Experience in managing complex schedules, travel arrangements, and confidential information.
Skills:
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize effectively.
  • High level of discretion and professionalism.
  • Problem-solving and decision-making abilities.
