Job Description
The Executive Secretary will provide high-level administrative support to the President and CEO and other senior staff.
Reports and serves as the primary point of contact for internal & external constituencies on all matters pertaining to the President and CEO.
Scheduling meetings, compiling documents and communicates directly on behalf of the President/CEO to executives, managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans and taking notes.
Serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; oversees special projects; support HR and Senior Leadership Team (SLT).
Performs high-level clerical administrative support and assistance tasks including drafting letters, memos, invoices, reports and other documents for senior staff.
Conducts research on prospective corporate and foundation donors to identify and evaluate current needs and assembles materials needed for the proposals.
Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with donors and prospects.
Administratively supports HR director (recruiting support, documents formatting, surveys set up and other administrative tasks), drafts emails and other PRB correspondence as directed.
Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
Supervisory Responsibilities may recruit, interview, hire and train junior administrative staff in the department.
Performs additional duties as assigned by CEO and/or other assigned leadership executives.
