Job Description

  • Provide proactive and efficient secretarial support to the CEO.
  • Serve as the primary point of contact for all internal and external constituencies regarding CEO matters, including highly confidential matters.
  • Manage the CEO?s calendars and set up meetings
  • Handle all logistics CEO related Interact with leadership, internally and externally.
  • Support the CEO by preparing them for meetings, including organising travel arrangements, providing all supporting information and documentation such as agendas, minutes, papers etc.
  • Scheduling and managing the CEOs emails, calendar, meetings, travels and bookings.
  • Plan /organize and implement departmental meetings and take minutes of the meeting, ensuring proper follow-up on agreed business plans.
  • Key point of contact for the CEO; proactively managing internal and external enquiries and communication, some of which may be of a sensitive and/or confidential nature.
  • Handling C-level customers (VIP) and company board members.
  • Dealing with correspondence, Preparation of documents, reports, and presentations.
  • Undertake specific projects as directed, some of which may be of a complex and confidential nature.
  • Provide ad-hoc support as required, such as conducting research, gathering data etc and presenting findings in a timely manner.
  • Devising and maintaining office systems, including data management and filing.
  • Providing administrative and IT support for the CEO
  • Liaising with clients, suppliers, and other staff.
  • Handles visit/transit visa application, travel booking, hotel reservation, guest entertainment, gate passes, logistics?etc.
  • Relationship development with local suppliers (corporate rates with hotels, caterers...etc.)
  • Business: Conferences/meetings/lunches/dinners arrangements.
  • Reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; and initiating telecommunications.
  • The point of contact between the executives and internal or external colleagues.
  • Coordinate monthly management meeting reports.
  • Preparing and submitting reports, expenses, memos, letters, and other documents.
