Job Description

Job OverviewThe?Contracting Executive?is responsible for building stronger relationship and negotiating with the Hotels to get the best rates and allocations suitable for the assigned sector/ market (India, Philippines, Africa, etc.)Responsibilities

  • Negotiates for special rates for each booking; doing spot contracting with assigned hotels
  • Ensures all contracts are vetted before uploading into the system.
  • Ensures Hotel Contracts database are filed and updated.
  • Plans and arranges Familiarization Tour for the Agencies.
  • Plans and arranges Site Visits for other Departments including Market Managers and Overseas Representatives.
  • Arranges FAM Tours or site visits/inspection for VIPs
  • Conducts hotel online rate comparison and submits the same to the responsible Contracts Manager
  • Performs other related jobs/duties as may be assigned by the management from time to time.
Duties
  • Vets contracts based on the prescribed guidelines.
  • Provides support to the Reservations Team for booking confirmation or clarifications.
  • Assists Reservations Team for any special rate requests for Dubai City Hotels.
  • Assists Tariff Team for sector-wise promotion/ contracts clarification by coordinating directly to the hotels.
  • Coordinates and follows-up request for Site Visits to hotels for familiarization of Agency Partners, Reservations Team, Market Manager or Overseas Representative, etc.
  • Prepares itineraries for Site Visits based on the Hotel Representative?s confirmation and submits the same to the respective Market Manager/ Overseas Representatives.
  • Prepares itineraries for VIP Site Visits based on selected hotels.
  • Updates FAM Calendar based on FAMs scheduled on a monthly basis.
  • Collect contracts from hotels and updates Hotel Contracts Database from time to time.
  • Compares our contracted rates to online rates by checking online portals such as Booking.com etc.
  • Sends signed copy of contracts to the hotels.
  • Informs Reservations Team and other concerned team members of any hotel updates i.e. Hotel USPs, New Hotel opening, any Construction on going, etc. by creating a flyer and sending the same to the team.
  • Updates Incentive reports of hotels
  • Fills-up Credit Application forms and submits it back to the hotel.
