Job Description

Haier - Raya Electric, a subsidiary of Raya Holding for Financial Investments is looking to hire a Receptionist Administrator (Facilities) with the below job responsibilities:

  • Meet and greet the visitors to ensure that they are being welcomed and determine the purpose of their visit and connecting the visitors with the designated employee either by phone or e-mail.
  • Controlling the reception area activities and general outlook to make sure that the reception is tidy and clean all the time
  • Responsible of? all ongoing/ new contracts, reviewing drafts, communicating with the legal department till the final draft is signed as well as maintaining an archive of all contracts and following up on any contract renewal
  • Responsible for the whole process of needed printed materials for all Raya Companies (i.e. business cards, letter heads?.etc.)
  • Monitoring the outsourced security company to make sure they understand their roles and responsibilities, carrying out their duties correctly and following up on their grooming and attendance to ensure they match Haier Raya standards.
  • Setting a plan for each security guard to be dedicated to one area during the shift to make sure that the whole building is secured
  • Ensuring that the security guards are following up on the housekeeping while cleaning the desks and inside offices to avoid any losses and reporting any found items during the shift and handing in and returning it to its rightful owner whenever possible
  • Ensuring that the building and inside office doors are closed after employees leave for security while also monitoring the CCTV to report to the Faculties manager in case any problem noticed to take the needed corrective action.
  • Handling and requesting the monthly supplies (buffet, stationary, maintenance spare parts, furniture etc.) to fulfill the employee?s needs and following up on the inventory of the warehouse to assure that the stock?s balance is maintained.
