Job Description

Job Purpose:The incumbent will be responsible for activities related to various WFP Emergency Response programmes and Food Security such as and not limited to: Direct Food Assistance (In-Kind Distribution), Accountability to Affected Populations (AAP), Food Security Sector Coordination and ensure they are undertaken within the agreed timeline and properly coordinated with relevant parties internally and externally as required. The incumbent will be expected to travel within the service areas of the respective location.Accountabilities:Within delegated authority and under the direct supervision of the Programme Policy Officer (Deputy Head of Field Office) and the overall guidance of the Head of Field Office, the Programme Assistant will be responsible for the following duties:

• Contribute towards ensuring a robust and practical emergency preparedness plans in the field office and implementing emergency response programs and activities.
• Contribute towards the development of a number of projects, plans, and processes, ensuring alignment with wider programme policies and guidance.
• Assist in coordinating with WFP cooperating partners, other local and international NGOs, municipalities, and local authorities on all aspects related to the implementation of ongoing and perspective WFP programs.
• Coordinate distribution schedules and related logistics affairs with other program and logistics assistants and maintain records of plans and documentation of progress in implementation of activities.
• Function as a centralized Team Lead for the in-kind distribution program in the field, working with PPO, M&E unit, Logistics Unit and Program unit at field office and country office levels.
• Verify the planned distribution of food assistance, report issues or discrepancies to the supervisor for timely resolution of problems and to ensure that the quantity and quality of the operation is in line with WFP standards
• Prepare a variety of elaborated reports and substantial data analysis on WFP assistance, programme status, ensuring deliverables adhere to corporate standards and quality control.
• Play a key role in grant management, reviewing proposals of WFP partners, including quality checking proposals and budgets, reviewing of narrative and financial reporting and verification of invoices of WFP Local and International Partners.
• Compile data and maintain electronic records, plans and documentation, following corporate and country office standards and guidelines, for the Field Level Agreements and partnership management between WFP and Cooperating Partners.
• Draft reports, Food release notes and other notes for the record to document programme activities implementation.
• Support enhancing coordination of the food security sector in the field through the reinforcement of linkages and synergies between relevant food security actors as well as between humanitarian and development partners
• Support in the coordination and organization of regular food security sector meeting in the field office including administration of meetings, collecting inputs, disseminating information, mapping of resources, and updating inter-agency tools and maps.
• Assist to support WFP Emergency Preparedness ad Response processes; follow corporate emergency preparedness practices to ensure WFP Lebanon is able to quickly respond and deploy needed resources to affected areas at the onset of the crisis.
• Assist in compiling, consolidating and cleaning data at field level to support operational decision making.
• Perform other related duties as required.
