The Receptionist is the first point of contact for the company and is responsible for providing a positive and professional impression to all visitors, clients, and employees. This role involves a variety of administrative and clerical tasks to support the smooth operation of the front desk and overall office environment.˙Key Responsibilities:1. Greeting and Welcoming:˙˙- Welcome visitors and clients as they arrive at the office.˙˙- Direct visitors to the appropriate person or department.˙˙- Ensure a positive first impression through a friendly and professional demeanor.2. Answering and Directing Calls:˙˙- Answer, screen, and forward incoming phone calls.˙˙- Provide basic and accurate information in-person and via phone/email.˙3. Visitor Management:˙˙- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).˙˙- Ensure the reception area is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).˙4. Customer Service:˙˙- Address and resolve customer queries and complaints in a timely and˙efficient manner.˙˙- Provide excellent customer service and support to all clients and visitors.5. Record Keeping:˙˙- Maintain accurate records of visitors, calls, and other relevant information.˙˙- Update and maintain contact lists and internal directories.
