Job Description

We are seeking a highly organized and proactive Executive Assistant and Office Manager to join our dynamic team. This role is crucial in ensuring the smooth operation of our office and providing top-notch support to our executive team. The ideal candidate will be a multitasker with excellent communication skills and a strong ability to manage various administrative and office management tasks efficiently.Key Responsibilities:Executive Support:

  • Manage the executives calendar, scheduling meetings, appointments, and travel arrangements.
  • Provide administrative assistance, including writing and editing emails, drafting memos, and preparing communications on behalf of the executive.
  • Take minutes of meetings, follow up on action points, and ensure timely completion of tasks.
  • Assist in research, review, and proofread documents.
  • Draft due diligence reports and summaries for corporate clients.
Office Management:
  • Manage and maintain office operations and supplies, ensuring the office is well-stocked and organized.
  • Coordinate office equipment maintenance and repairs, liaising with vendors as necessary.
  • Manage office lease agreements, including renewals, terminations, and rental fee payments.
  • Prepare monthly payroll, expense reports, and related statements for CEO approval and signature.
  • Handle all payments, manage petty cash, and ensure proper documentation and tracking.
  • Implement and enforce office policies and procedures to maintain an efficient work environment.
  • Manage the office budget, track expenses, and ensure costs are kept within budget.
Administrative Duties:
  • Organize and coordinate office operations and procedures to ensure organizational effectiveness.
  • Communicate with stakeholders to build and maintain positive relationships.
  • Ensure effective management and follow-up of staff members.
