The Operations department ensures that systems and practices needed for the healthy and efficient operational support is present for effective implementation of MC Jordans programs/projects.General Position SummaryThe Admin and Logistics Assistant will work within the Admin and Logistics Department which falls under Operational Support, committed to provide efficient, reliable, and compliant support to program activities in order to achieve effective implementation of programs to provide service to program beneficiaries. The Admin and Receptionist will support the logistics and Admin officer in all assigned tasks related to administrative tasks. He/She will work closely with all Logistics and Admin department staff in supporting Mercy Corps staff needs. The receptionist will be repressible for greetings guests, vendors and partners, answer to their enquiries and helping them navigate through the office.*Essential Responsibilities* * Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.* Answering screening and forwarding incoming phone calls.* Receiving, sorting, and distrusting daily mail.* Updating and circulating MCJ contact list.* Ensuring reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures);* Keeping good track of documents and a well-organized Archive for Logistics and Admin department.* Proceeding with issuance Mercy Corps Staff IDs and Access Cards for new hires.* Preparing orders for Logistics and Admin Department or other programs from our contracted suppliers.* Preparing/ Editing official letters for hotel approvals on external trainings and meetings.* Coordinating meetings and organize catering* Utilize the different trackers/excel sheets used in the department for follow-up and keep them up to date.* Receiving goods from suppliers and monitoring the stock in the admin store, and how to release stationery to the end users.* Work with all staff in the organization and develop great communication skills.***Supervisory Responsibility* None*Accountability*Reports Directly To:Logistics and Admin OfficerWorks Directly With:Logistics and Admin Manager, Operation staff, Mercy Corps Jordan staff ad guests.*Accountability to Participants and Stakeholders* Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work.
