Project Technical and Admin AssistantVacancy #: 6061 Unit: West Asia - Protected Areas, World Heritage and Business Organisation: International Union for Conservation of Nature (IUCN) Location: Regional Office for West Asia, Amman, Jordan Reporting to: Programme Manager, Biodiversity & Protected Areas Work percentage: 100% Grade: A3 Expected start date: 01 September 2022 Type of contract: Fixed-term (12 months with possibility of renewal) Closing date: 25 July 2022 BACKGROUND The International Union for the Conservation of Nature (IUCN) is the world?s leading conservation membership union established over 70 years ago, and composed of over 1,400 member- organizations of both government and civil society organizations with the input of more than 18,000 experts. IUCN?s mission is to influence, encourage and assist societies to conserve the integrity and diversity of nature and ensure that any use of natural resources is equitable and ecologically sustainable. Through its Regional Office for West Asia (ROWA) and related global programmes, IUCN is seeking to strengthen its presence in Saudi Arabia on initiatives that align with IUCN?s mission and priorities. IUCN ROWA is currently implementing a new project in the Medina Region located in North western part of Saudi Arabia aiming to establish and initiate a well-connected, fairly governed, effectively managed network of protected and conserved areas in the project area, that adheres to international standards and best-practices, shares lessons and successful approaches regionally and globally, and demonstrates initial success in nature conservation, restoration and sustainable use of ecosystems and natural resources for the people and biodiversity. The project will be implemented by IUCN?s regional office for West Asia over the course of two years. IUCN ROWA will establish a project management unit for this project which includes staff based in IUCN ROWA and in KSA for the achievement of the project goals and objectives. The objective of this position is the to provide technical and administrative support for the project manager and project coordinator for the effective implementation of the project activities including; events, meetings, workshops, field work, in addition to supporting the project management with the follow up with project?s technical experts and other stakeholders for the successful delivery of the project outputs. JOB DESCRIPTION DUTIES AND RESPONSIBILITIES IUCN ? ROWA is seeking the support of a project technical and Admin Assistant to assist with project coordination duties for the effective and successful delivery of the project. The Project Assistant will be based in IUCN?s Regional Office for West Asia in Amman, Jordan and will be working under the direct supervision of the Project manager/ Protected Areas, World Heritage and Business Programme and will be supporting the project coordinator who will be based in Saudi Arabia with frequent travel to the project location in KSA. The contract duration will be for one year with possible extension. Under the supervision of the Project Manager / Programme Manager at Protected Areas, World Heritage and Business Programme at IUCN ROWA, the Project Technical and Admin Assistant will have the following specific duties and responsibilities: - The Project Technical and Admin Assistant will play a key role in supporting the project manager and project coordinator to ensure the effective implementation of the project activities, in full compliance with IUCN policies, associated procedures, guidelines and standards and the donor requirements as per the project contract. He/ She will be facilitating and following up the project?s technical and administrative work with the project staff based in KSA and other relevant functional units in IUCN ROWA office based in Amman. Under the direct supervision of the Project manager/ Protected areas, World Heritage and Business Programme, the incumbent will be responsible for carrying out the following specific tasks: Technical responsibilities: ? Support the project manager and project coordinator in tracking and supporting the implementation of the project activities in accordance with the project documents and agreed workplans. ? Conducting background research for the project?s technical reports in thematic areas related to protected area management and biodiversity conservation. ? Support the project coordinator and project manager in developing necessary terms of references for the projects? experts/ consultants including individual and consulting firms as needed. ? Support in drafting technical progress reports and assist the project manager in tracking and financial reports. ? Check the compatibility of the project technical reports with IUCN?s style manual and visual identity and follow up with IUCN?s publication officer and relevant experts for the successful publication of project deliverables. ? Participate in and support field missions to the project location when needed Administrative responsibilities: ? Provide support for the project team in KSA and follow up the project consultancy contracts, payments, etc. with relevant functional units at IUCN ROWA. ? Support the procurement procedure of goods and services related to the project activities in compliance with IUCN?s procurement policy and donor requirements. ? Prepare, maintain and update a detailed digital archive for the project?s activities, contracts, payments etc. ? Preparing meeting minutes, and keeping track and documentation of meetings, workshops and field visits ? Set up calls, coordinate meetings, workshops and provide logistical support for the successful implementation of project activities as needed ? With the support of the project management, draft communication briefs on the project activities Others: - Performing any other duties as requested by the line manager. QUALIFICATIONS: ? BSc degree in biology, environmental sciences, environmental management, biodiversity conservation, or any other related fields. ? Between 3 - 5 years? experience with environmental/ biodiversity project technical and admin support and administration. ? Experience with international organizations, large scale projects and/ or organisations is preferred. ? Good background in protected areas management field, specifically within ROWA region. ? Good background in biodiversity and/or protected areas information management, ideally involving terrestrial ecosystems, at national and/or regional levels. ? Ability to compile large amounts of information succinctly into a coherent document for conservation practitioners and government officials. ? Good facilitation and coordination skills, the ability for managing the timely and effective delivery of both quantity and quality work on time. ? Strong communication and presentation skills and an ability to prepare appropriate and timely reports to a wide range of audiences and cultures. ? Time management skills including an ability to work effectively under pressure and to meet deadlines. ? Fluent writing and speaking literacy in English and Arabic. ? Ability to liaise and work with a range of stakeholders including government agencies, the private sector, and local community, and in support of regional and national institutions ?
