Number: 151658 Salary 2440 - 2800 JOD Citizenships Jordan Residence Country Jordan Years of Experience 7 - 16Information Management Coordinator and RequirementsPURPOSE* Information Management (below called IM) is the ability of the ICRC to produce, capture, manage, preserve, store and deliver the right information to the right people at the right time.* The role of the IM Coordinator (IMCo) is to enforce, advise, assess the IM situation and needs, analyse problematics and propose fit solutions, follow up, and accompany colleagues in this matter.* The IMCo is responsible to implement the IM strategy in the covered context and to provide a plan of actions to improve the IM situation.* The IMCo also ensures that all relays and/or persons in charge of IM in the delegation they cover have the adequate training and develop their competencies.* The IMCo work with the different sectors operating around information management (data, data protection, ICT, etc.) to provide a coherent support to delegations on issues such as information flows and processes, security of information, and to ensure a better capitalization of the existing information.* At a delegation level, the IMCo contributes to better manage information and data in order to become more transversal and be able to quickly generate narratives (information) based on evidence (information and data).* The IMCo is an active actor of all the analysis and actions proposed in its scope of responsibilities (information and knowledge management, including records management and archiving), taking the necessary actions to facilitate the operational activities of the delegation.* The IMCo works under the coordination of the regional Head of IM Region based in Amman.* The position is based in Amman and covers the Amman delegation and the Regional Resource Network (RRN). (The coverage might be reviewed in the coming years).* This position might be asked to support information management in emergency situations (meaning travel on short notice).ACCOUNTABILITIES AND FUNCTIONAL RESPONSIBILITIES* Ensures coherence of practices and approach to information management (IM) in covered delegations and the Regional Resource Network; conducts regular visits to those delegations, including sub-sites.* Works with other departments to ensure consistency and harmonization of information across the Delegation* Develops internal collaboration with different positions, such as data management, data protection or ICT, to ensure joint and timely responses to IM matters, implement, promote and monitor IM projects and tools.* Utilises and brings together existing resources, data and information within the ICRC to create synergies and provide holistic analysis for informed decision-making.* Supervises (executive) assistants & IM officers, participates in their recruitment; advises, supports and provides/arranges training and coaching to build and develop their skills on all IM related aspects, ensure IM related matters are under control and policies are applied* Collaborates with and supports (E)AIMOs in implementing adapted solutions, introducing IM rules, policies, guidelines, processes and tools, and accompanies change management in the field IM.MAIN RESPONSIBILITIES* Reviews with each department and sub-department information management processes and needs with the aim of improving information flow, data management, sharing, collaboration, access rules, mobility, information handling, privacy and security practises* Provides expertise on ICRC IM processes, rules, policies and tools; researches and develops approaches required to ensure ICRC information security and ensures ICRC staff comply with information security.* Is the focal point for the (Executive) Assistant & IM Officer (EAIMO), management and coordinators for all IM related issues.* Advises and supports ICRC staff, management and assistants through systematic training on IM guidelines, policies and best practices.* Works closely with other units in delegations to develop a mapping of available information and data, identify new needs/gaps and, when requested by m‚tiers/business, support them in collecting, processing, analyzing and disseminating this data.* Contributes to the creation of information products, including dashboards, reports, charts and/or visualisations.* Proposes and implements solutions based on current and future processes to improve the management of the information lifecycle, including capturing of all relevant ICRC records.* Responsible to assess the IM maturity in the delegations covered, draft a plan of action, ensures its follow up and evolution.* Establishes and maintains productive working relationships with the Movement and other external partners in the field of information management.* Contributes to global and regional deliberations and the alignment of IM strategies and tools.PROFESSIONAL MANAGEMENT RESPONSIBILITIESActs as a red line for (executive) assistants and IM officers of the delegations covered: * Responsible to work with the functional manager on the Performance Management & Development (PMD) activities for employees under her/his red or blue line responsibility;* Engages in ongoing and continuous feedback and support particularly for employees under her/his red or blue line responsibility but also other staff members;* Organizes regular meetings within her/his team to ensure an optimal coordination of the work and proper flow of information;* Ensures that the job descriptions for employees under her/his responsibility are up to date, seeks feedback and support of HR department if needed;* Coordinates and supports the employees under her/his responsibilities in their personal development by coaching and advising them on internal and external training and development possibilities.* Assess the functional competencies of the (executive) assistants & IM officer and proposes a development plan together with the functional manager and the talent manager.ADDITIONAL DUTIES* Is aware of the delegation?s objectives and has a good knowledge of the Movement and other interlocutors relevant to the position;* Collects and shares information so as to improve the ICRC?s understanding of the environment, humanitarian trends and responses when relevant;* Represents the ICRC in an appropriate way during activities, meetings and in the field and avoids any activity that may reflect negatively on the ICRC?s image;* Takes responsibility of own professional learning and developmentGENERAL DUTIES* Understands and adheres to the 7 Fundamental Principles of the Red Cross/Red Crescent Movement;* Understands and adheres to the ICRC Code of Conduct;* Understands the three components of the Red Cross/Red Crescent Movement;* Respects and observes staff regulations and security rules at all times;* Represents the ICRC in a professional manner at all time;* Develops and maintains a pleasant and conducive working environment with colleagues and line managers;* Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC;* May be asked to perform duties and tasks not covered in this job description as well as to provide support to other departments when necessary.Professional Experience and Education RequiredEducation * University Degree or higher in the field of International Relations, Political and Social Sciences, Economics, Information Management, Statistics, Computer Science or any other related field.
