Action Against Hunger?is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for?Logistics AssistantWork place:??Azraq Refugees Camp - ZarqaPosition Overview:Manage Field fleet ( Northern Jordan, Madaba and Azraq) and be in charge of field related stock and premises management, while handling simple purchasesResponsibilities:1)?To supervise the Fleet Management at Field Level :-??To supervise field drivers in (Northern Jordan, Madaba and Azraq).-?To plan movements of vehicles on daily / weekly basisVehicle?s needs:-?To gather the vehicles needs at field level, create line on the link and Share them with the General Services Officer.Vehicles maintenance:-?To follow up with drivers in the field regarding the maintenance needs of the vehicles , and communicate those need to the General Services Officer, or by delegation to the person in charge of the fleet at mission level.-?To get feedback from the drivers regarding the maintenance done by the car rental company, and to share them with the General Services Officer.Fuel tracking:-?To make sure that each vehicle have a fuel card-?To gather all fuel data from the log book in the fuel data sheet, and to crosscheck with fuel tickets (invoices).Reporting:-?To manage drivers attendance.-?To submit weekly and monthly fleet and fuel consumption reports.-?To be the focal point in case of car accident and ensure that drivers are reporting all accident/ scratch and poteen police report.-To report the vehicle condition monthly with a random check .2)?Manage inventory and equipment (asset) management in the field:-?Ensure that all items are stored in a way to be counted, and packed correctly respecting ACF standard.-?To conduct the overall physical quarterly inventory to prepare the yearly inventory report, to be validated by the logistics Head of Department-?To archive all documents IN and OUT properly, in order to ensure complete tracking of all stock movements.-?To receive goods from suppliers and ensure that all necessary paperwork are archived.-?To ensure that all the new received items are added to the inventory list.-?To be the focal point between field office and Amman office regarding all items/document transferred between the two offices.?-?Ensure that all documentation related to assets are prepared and signed off in due time including asset transfers/loaning, donation and damage reports to ensure proper tracking of assets in accordance with ACF procedures3) Manage access and general maintenance of the field premises:-?To ensure that main field office in Irbid and sub field offices are in good condition and to act on requests regarding maintenance / problems.-?To ensure supply of water for all premises.-??To follow up and request stationaries for the office, when needed.-??To ensure basic security of the premises is maintained (doors and locks, fire extinguishers, emergency numbers?)-??To ensure proper repairs are done, either directly or through contractors.-??To handle the follow up of all maintenance tasks due to the landlords, and to manage communication with the landlords, whenever relevant and appropriate.-??To help HR department when ordering cleaning products, hygiene items and office supply (tea, coffee, sugar?.)Access:-??To help field staff maintain up to date visitors register in collaboration with offices focal points.-??To facilitate staff, visitors and material access/exit to Azraq Refugees Camp; through drafting, submitting and obtaining permit requests approvals from SRAD in the camp and in coordination with Access and Liaison Manager-??Contribute to Field Security Management, such as participating in the monthly SIN meeting, and provide feedback and minutes of meetings to the Access and Liaison Manager.-??To perform access and security checks prior to activities in the Camp premises.4)?Manage direct purchases and Support on Field Procurement as needed:Supported by the Logistics Officer, carry out direct purchases in line with the approved procurement timelines and procedures:-??Receive Purchase Lines on LINK My Supply (Procurement and Inventory Management Software).-??Prepare Request for Quotations (RFQs) for Direct Purchases under the assigned threshold and area.-??Solicit Bidders-??Issue Supplier Purchase Orders-?Follow up on timely delivery-???Facilitate delivery including issuing the required goods/services receipt notes-??Process Vendors Payments in timely manner-??Solicit quotations and place orders and prepare all relevant documentation in line with ACF?s procedure.-??Ensure that all documents related to purchases are provided in an auditable trail and archived properly in line with requirements??????5)?Ensure adherence to Action against Hunger gender requirements-??Commit and comply with the organization gender, age and diversity principles & policies (working with people, communication)-??Support on the implementation and the promotion of gender, age and diversity principles through daily activities and or through the management of their teams (Managing performance & development)
