The University of New England College of Dental Medicine (UNE CDM ) is seeking a candidate committed to exceptional service to join our team as a Staff Assistant. Reporting to the Associate Dean for Clinical Education and Patient Care, this position performs a wide variety of clerical and administrative tasks related to support of the Oral Health Center. Responsibilities Responsibilities ? Oversee and carry out various day-to-day departmental administrative functions. ? Coordinate and complete various tasks for Associate Dean for Clinical Education and Patient Care, faculty and staff, including scheduling, meeting coordination, submitting work orders, travel coordination and reconciliation, and ordering. ? Organize and maintain various departmental files and records, frequently involving cross filing/cross reference systems. These files include but are not limited to, CVs, resumes, time sheets, leave requests, new hire paperwork, and CDM manuals and compliance forms. ? Oversee and coordinate faculty and staff on boarding process including malpractice insurance, credentialing, and Maine State Dental Board licensing. ? Maintain various logs and other manual/electronic recordkeeping systems related to assigned functions. ? Perform basic liaison functions with students, faculty, staff, patients, or other department/University constituents, as needed: explain policies, procedures, answer various questions, coordinate services/assistance, and handle special requests or problems, routing to senior staff as appropriate. ? Compile a variety of information from both manual and computerized records and files for regular and special reports and in response to specific requests by supervisor or other staff members. ? Prepare/coordinate bulk or other special OHC mailings and marketing materials. ? Assist with annual events including White Coat Ceremony, Hooding Ceremony, and various lectures and special events. ? Set up meetings as requested including: room reservations; confirmation of availability of participants; ordering of room setups; submit catering order; sending of electronic appointments and tracking of acceptances. ? Perform other specialized or technical administrative tasks related to the department?s primary function. ? Performs other related duties as assigned. Qualifications Qualifications Associate?s degree in business or other appropriate discipline, plus two to three years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired. ? Broad base of general clerical/secretarial skills, including typing/word processing, filing, phone/office reception, and so forth. ? Good basic administrative and organizational skills. Experience in organizing and maintaining moderately complex filing and records systems. ? Previous experience with computerized information systems desirable, and possibly required. ? Good reading, spelling/grammar and general writing and math skills. ? Ability to deal effectively with a wide variety of University personnel, students, and/or outside individuals/organizations. ? Prior higher education or dental practice experience is desirable * Background check may be required.
