Job Description

Executive Assistant To CEOJob Location: United Arab EmiratesKey Responsibilities & Authorities:•Manage electronic communications: read, comprehend, sort, and respond to urgent emails as directed by the CEO.•Coordinate and report office-related issues to the CEO.•Delegate tasks and give instructions to Heads of Department (HODs) and staff on behalf of the CEO via email or verbally.•Maintain corporate confidentiality.•Report malfunctions, irregular activities, and anomalies to Top Management.•Greet and accommodate CEOs guests, VIPs, and visitors.•Draft, review, and revise general correspondence.•Screen incoming calls for the CEO (mobile and landline).•Attend to internal calls and queries from HODs and employees via calls or email.•Coordinate HR and Accounts issues, including approvals for air tickets, hotel reservations, and other office matters.•Handle petty cash and monitor daily balances.•Manage the CEOs schedule, including business and personal appointments.•Assist with personal matters of the CEO such as banking, medical appointments, etc.•Update and maintain the contact database of corporate and personal contacts.•Organize and index files and documents for easy retrieval.•Arrange travel plans for the CEO, including flights and accommodations, and coordinate meeting schedules abroad if necessary.•Attend meetings, record minutes, and transcribe for review.•Initiate and oversee corrective actions as needed.•Represent the CEO in delegated capacities during absence.•Issue official correspondence on behalf of the CEO when required.Requirements:•Bachelors Degree (considered an advantage).•Over 5 years experience supporting senior management.•Proficient in MS Office applications.•Confidentiality and privacy skills.•Experience working with diverse cultures.•Attention to detail, multitasking, and good communication skills.
