Job Description

Our client, a leading event production company specializing in high-profile events across the UAE and KSA regions, is seeking an experienced and proactive Administration and Logistics Manager. This role is pivotal in ensuring the seamless coordination of all administrative and logistical operations necessary for the successful execution of events. The ideal candidate will possess strong leadership skills within administration, and will be adept at managing the full employment cycle of freelancers, including onboarding, visa processing, and travel arrangements.Key Responsibilities:Team Leadership:

  • Lead, mentor, and manage a direct team of 3 administrative and logistics professionals, ensuring high performance and efficient operations.
Freelancer Management:
  • Oversee the full cycle of freelancers, from onboarding to offboarding, ensuring compliance with company policies and regional regulations.
Visa and Permit Management:
  • Handle all aspects of visa and permit processing for freelancers, ensuring timely approvals and adherence to legal requirements in the UAE and KSA.
Travel Arrangements:
  • Coordinate all travel logistics for freelancers, including flights, accommodations, and transportation, ensuring a smooth and hassle-free experience.
Stakeholder Communication:
  • Report directly to senior management and key stakeholders, providing regular updates on administrative and logistical operations, and addressing any challenges or issues promptly.
Budget Management:
  • Monitor and manage budgets related to administration and logistics, ensuring cost-effective operations without compromising quality or efficiency.
Process Improvement:
  • Continuously evaluate and improve administrative and logistical processes to enhance efficiency and support the successful delivery of events.
Qualifications:
  • Bachelors degree in Business Administration, or a related field.
  • Minimum of 5 years of experience in an administrative or logistics role, with at least 2 years in a leadership position.
  • Proven experience in managing teams and admin function
  • Strong knowledge of visa and permit processes in the UAE and KSA.
  • Excellent organizational and multitasking skills, with the ability to work under pressure and meet tight deadlines.
  • Exceptional communication and interpersonal skills, with the ability to liaise effectively with senior management and external stakeholders.
  • Proficiency in Microsoft Office Suite and experience with logistics management software.
  • Fluency in Arabic would be preferred
