Job Description

OverviewOffice managers are responsible for keeping an office running smoothly and overseeing administrative support. The job can range widely in duties and responsibilities, from reception, copy editing and support, to handling a specific type of paperwork or filing for a specific department.Duties and Responsibilities

  • Oversee and support all administrative duties in the office and ensure the office operates smoothly.
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Perform receptionist duties ? greet visitors, answer, and direct calls.
  • Develop office policies and procedures and ensure they are implemented properly.
  • Create, maintain, and update database ? Master data with ensuring data security.
  • Design, update, and edit the employee?s files and contracts (hard & soft copies)
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Negotiate and draft contracts for maintenance contracts with ensuring utility bills are paid
  • Mentor the employee?s commitment and attendance with the relevant actions required.
  • Work with the IT department to resolve problems in TAS system.
  • Participate in onboarding process and initiate the necessary documents for each new employee.
  • Organize and schedule meetings and appointments.
  • Manage internal staff inquiries and requirements.
Qualifications and Skills
  • Diploma, Bachelors degree equivalent
  • Proficient in Microsoft Office
  • Very good computer & Internet skills
  • Excellent English and Arabic fluency
  • Excellent communication skills
  • Problem analysis and assessment
  • Judgment, problem solving and decision making
  • Planning and organizing
  • Attention to detail and high level of accuracy
