Job Description

  • Administering day-to-day on-boarding transactions including background check, pre-hire medical checkup (if applicable), Iqama transfers/Iqama issue, and relocation support.
  • Responsible for coordination of visa and mobilization processes for new employees coming from foreign countries, intyernally and externally
  • Prepare all Visa utilization documents and submit to the respective overseas Recruitment Agencies to ensure timely issuance of visa to the accepted candidate.
  • Act as a key liaison between the business and new employees with respect to visa application and processing.
  • In conjunction with the Talent Acquisition Manager monitor all working visas issued to the company and notify relevant parties on misuse or possible expiration.
  • Act as key liaison between the business and overseas Recruitment Agencies on all matters relating to overseas recruitment.
  • Prepare payment of invoices from overseas Recruitment Agencies.
  • Follow up with the overseas Recruitment Agencies for visa stamping status of the candidates.
  • Ensure the business have a varied pool of recruitment agencies across our key target markets for manpower.
  • Ensure the business have signed contracts with all recruitment agencies.
  • Manage all administration relating to overseas employees.
  • Verify all received recruitment documents of accepted candidates in compliance with Company Policy and Procedures and submit to the relevant department for scanning and posting in the system.
  • Welcome new employees and arrange for successful first day/ week experience.
  • Responsible for preparing first day documentation.
  • Coordinating with L&D Department to conduct orientation sessions.
  • Assign the new hires on the HRMS.
  • Ensuring all new hire compliance requirements, onboarding paperwork is complete and properly document evidence of compliance requirements met for future audits.
  • Acting as a resource in responding to queries from new employee, hiring managers, and other stakeholders throughout the onboarding process.
  • Coordinating, communicating and following-up with internal stakeholders to ensure smooth processes throughout onboarding of the employee.
  • Creating, updating, maintaining appropriate documentation.
  • Working with management to identify potential problems, gather data, and analyze opportunities for process improvements.ÿ
