The Executive Secretary provides high-level administrative support to executives and senior management, ensuring efficient operation of the office. The role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to facilitate smooth business operations.Key Responsibilities:Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangementsPrepare and organize reports, presentations, and documents as neededHandle incoming and outgoing communications, including emails, phone calls, and correspondenceCoordinate and organize meetings, including preparing agendas and taking minutesScreen and prioritize emails and phone calls for executivesManage confidential information with discretionAssist in preparing reports, presentations, and other documentationLiaise with internal departments and external contacts on behalf of the executivesPerform general administrative tasks such as filing, data entry, and office supplies managementSupport special projects and initiatives as assignedQualifications:Bachelor’s degree in Business Administration, Secretarial Studies, or related fieldProven experience as an Executive Secretary or similar roleExcellent organizational and multitasking skillsStrong communication and interpersonal abilitiesProficiency in MS Office (Word, Excel, PowerPoint, Outlook)Ability to handle confidential information professionallyAttention to detail and problem-solving skillsAbility to work under pressure and meet deadlines
