Position Title Employment Specialist Job Summary Under direction of the Director of Talent Management, this position is responsible for the employment process for the University, in accordance with all applicable federal, state, and local laws and regulations. This position will deal professionally with highly confidential information and requires a high degree of customer focus. Knowledge, Skills and Abilities Individuals must possess the knowledge, as well as the following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. 1. Working knowledge of Employment/Recruitment practices and Federal/State employment laws and regulations 2. Knowledge of applicant tracking systems 3. Strong computer/technology proficiency including Microsoft Office applications 4. Proven problem-solving, analytical skills, and the ability to approach complex problems logically and systematically 5. Outstanding attention to detail and follow- through skills 6. Strong organization and prioritization skills 7. Experience dealing with confidential information and ability to maintain confidentiality 8. Demonstrated ability to engage in independent thinking, decision making, and initiative to solve problems 9. Exceptional teamwork with excellent verbal and written communication skills 10. Ability to communicate to all employees at all levels with tact and diplomacy 11. Ability to work independently with minimal supervision; to prioritize and complete tasks while working under deadlines in a fast-paced environment. 12. Demonstrated ability to take initiative with a results and customer focused attitude Required Qualifications 1. Education: Associate degree or equivalent required. 2. Experience: Three years demonstrated, strong administrative/clerical support in a Human Resources environment with emphasis on the employment process. Preferred Qualifications 1. Education: Bachelor?s Degree preferred. 2. Experience: System experience in Banner and PeopleAdmin strongly preferred. Essential Job Duties Job Duty 1. Serves as the point-of-contact for all incoming calls/emails related to employment. Provides answers to employees? questions and refers other questions or concerns to the appropriate resource, as needed. Assists with the dissemination of information and reports related to HR services and projects. Percentage Of Time 15 Job Duty 2. Coordinates and process all new hire and employee changes and deliver the new hire orientations. Make contact with all new hires to collect and process new hire documents. Maintains employment forms with the most updated required documentation including I-9?s, Mandatory Reporter Statements, state/federal mandated documents, and AB469 forms. Responsible for Federal Work Study position processing. Percentage Of Time 15 Job Duty 3. Maintains the HR Database Systems (Banner & PeopleAdmin) for new hires, status changes, salary changes, title changes and various other employment related changes. Responsible for the processing of applicants in the PeopleAdmin online position management/applicant tracking system. Maintains the daily workflow processing of job description modifications, postings, hiring proposals and reference checking for specified colleges/departments. Maintains position control in the Human Resources systems and coordinates with the Departments/Budget Office to resolve position control issues. Processes the Personnel Action Forms (PAF ) and monitors against payroll records. Percentage Of Time 15 Job Duty 4. Provides additional support to the Senior Employment Specialist and Director of Talent Management during the fiscal year end process. Percentage Of Time 5 Job Duty 5. Responsible to file timely reports with reporting agencies including EDD new hire reports and processes requested HR reports for various campus management. Responsible for processing employment verifications as requested. Percentage Of Time 10 Job Duty 6. Responsible for ordering required posters, pamphlets and other compliance documentation at the direction of the Senior Employment Specialist. Percentage Of Time 5 Job Duty 7. Supports Senior Employment Specialist as needed. Supports bulk notifications such as mailers to employees regarding pay changes. Percentage Of Time 10 Job Duty 8. Provides general guidance and education to hiring supervisors and applicants regarding the hiring process. Provides support and assistance with troubleshooting for all users. Percentage Of Time 5 Job Duty 9. Manage additional department email inquiries and provide appropriate responses. May schedule appointments and meetings as required for the Human Resources Department. Maintains the administrative filing system, archival and storage inventories in accordance with the records management system for Human Resources. Percentage Of Time 5 Job Duty 10. Act as backup to the Senior Employment Specialist as a system superuser to support end users. Percentage Of Time 5 Job Duty 11. Contributes to the success of the HR department by performing other duties as assigned in all areas of the department. Percentage Of Time 5 Job Duty 12. Maintains competency in the employment/recruitment field including new developments in concepts, practices, and regulations.
