Job Description

IntroductionThe Aga Khan University?s Institute for Global Health and Development (IGHD) was established in the year 2020 to serve as a University-wide entity for providing a unique platform for facilitating strategic engagements and partnerships between AKU, University of Central Asia and the wider Aga Khan Development Network (AKDN). IGHD aims to address global health and environmental challenges by creating a multi-disciplinary support system and infrastructure, whereby researchers across campuses and regions can collaborate and contribute.The IGHD works across four thematic areas, including Sustainable Development Goals (including Broad Social Determinants of Health); Gender Equity and Empowerment; Climate Change, Urban Development, and Health, and; Agriculture, Food Security, and Nutrition.ResponsibilitiesYou will be responsible for the supervision of administration and financial matters of Outreach field Offices including, procurement, inventory management, events management, fleet management, community liaison, security and political issues, maintenance of financial records. Specific responsibilities will be to:

  • ensure proper maintenance and administration of field offices which includes safety and security; housekeeping and maintenance
  • coordinate with different project leads regarding project admin issues in Sindh region
  • provide admin support in the planning, organizing and executing various events of the department in Sindh region
  • ensure that supplies, inventory and stock are distributed properly as per the requirement of project activities; also monitor that proper records have been maintained
  • coordinate with Karachi office for procurement of items and take follow ups
  • supervise and manage transport arrangements as per requirement of field sites in Sindh˙
  • make sure that proper records are maintained in log books
  • supervise the drivers and assign them duties accordingly
  • deal with security related issues of all field sites offices outside Karachi
  • deal with all the political issues ˙and liaison with community stake holders for proper commencement of project activities
  • coordinate with HR for all HR related services for field sites
  • responsible for resolving all work related conflicts and disciplinary issues
  • monitoring the attendance of all field staff
  • ensure that the advance issued for field expenses are properly utilized
  • responsible for maintaining proper Petty Cash records and its utilization
  • overall supervision of field office to ensure proper compliance of policies and smooth operations to facilitate commencement of project activities
  • visit field sites for monitoring and audit purpose frequently
RequirementsYou should have:
  • at least a Master?s degree in Business/Economics/Administrative Sciences. Additional complementing diploma will be an added advantage
  • at least five years 5 to 7 years of work experience on Administrative position preferably in a Health Care Organization with at least 3 years of experience in managing field operations preferably in Sindh region
  • excellent communication and supervisory skills˙
  • proficiency in Sindhi language
  • proficiency in computers especially MS Office
  • resilience and ability to cope up with work pressure
  • good negotiation and management skills
  • willing to travel to field sites frequently
  • excellent Team Player
