JOB PURPOSE

Responsible for Logistics, follow up with Custom clearance agent and Warehousing department, Shipment Tracking, Invoice evaluation and Reporting of materials being shipped for overseas suppliers as well as local suppliers.
To collect and check the original shipping documents from the supplier for submission to Custom clearance agent and make sure all documents are available before the arrival of goods in port.

KEY ACCOUNTABILITIES

Analyze, evaluate, and ensure implementation of the purchasing policies and procedures
Verify dates of shipment & inspection, receive pre-production sample, payment procedure and handle all shipment documentations.
Prepare authorization to clearing agents and customs authorities to clear shipments.
Follow up with our clearing agents the status of all shipments under clearance and report it to the Procurement and Contracts Manager on daily basis
Follow up with clearance agent in case of document shortage or delay of shipment clearance
Prepare the payment request for custom clearing agents and advance payment for high value shipments.
Follow up with clearing agents until the arrival of goods to our warehouse.
Monitor and prepare reports to evaluate the performance of clearing agents and report it to Procurement and Contracts Manager.
Follow up with the Warehouse Supervisor to give a report on the safety of the goods and confirmation that all is in par with the Purchase Order and close the order.
Notify the Procurement and Contracts Manager of any breach of agreement from the supplier, or any discrepancies between the received goods and requested or any shortage of documents. Prepare a report of that and notify the supplier of the matter.
Expedite imported material clearance in coordination with Supplier and clearance agent to close Purchase Orders.
Notify the Finance Department if any reductions or reimbursements are necessary.
