Job Description

To co-ordinate and supervise activities of the Credit Control Clerks in order to mitigate risk associated with customer credit and increase the inflow of cash available to the group by efficiently managing the collection of overdue invoices, whilst maintaining high levels of customer satisfaction.Key Activities / Accountabilities Credit Control activities supervision To co-ordinate, supervise and deploy Credit Control activities to mitigate customer credit risk and to ensure the collection of outstanding debt from customers in a timely and professional manner.Co ordinate and manage the workload in the credit department with the appropriate levels of resourceEvaluate customers credit worthiness to support the sales processResolve problem collections that have been escalated by Credit Control ClerksApprove credit notes when appropriate and within a timely mannerPerform customer account reconciliation when requiredEnsure credit control related data is maintained efficiently and accuratelyDepartmental and cross-functional communicationTo ensure smooth internal and cross-functional communication, following set processes and channels, in order to resolve credit control issues in a timely and accurate manner.Escalate problem collections to superiors as appropriateSupport the query department for swift resolution of invoice related queriesLiaise with customers and the sales force and visit customers where necessary/appropriateReportsystems issues to ensure a timely resolutionAdministration and reportingTo ensure timely and accurate data entry and to provide reports to management in order to identify improvement opportunities.Ensure credit control data is maintained efficiently and accuratelyHighlight resource issues to superiorsProvide performance reports to superiors in a timely mannerMeasure team performance against cash collection targetsUse communication and reports from Credit Control Clerks to create and forward proposals to line management to improve the Credit Control tactics when appropriate.People managementTo lead, motivate and empower the staff through effective & open communication, excellent leadership, regular performance feedback and teambuilding in order to maximise customer satisfaction, employee satisfaction and team productivity.Effective CommunicationCommunicate and monitor clear individual performance objectives and service standards.Create a positive and collaborative team environment by setting and regularly reviewing the achievement of team goals.Facilitate team meetings and other two-way communication forums.Communicate and monitor reward and recognition schemes.Ensure effective dissemination of relevant information to employees.Communicate daily issues to the team by proactively exchanging relevant informationPromote the corporate values through active participation in the corporate initiatives.Coaching and Performance ManagementPlan and conduct regular coaching sessions with each employee, including transaction monitoring, documentation and follow up.Ensure coaching and feedback is focused on the key accountabilities of customer satisfaction and business results.Provide immediate feedback to employees in order to act upon learning opportunities following escalated cases or other incidents.Conduct annual performance appraisals.Analyse daily/weekly/monthly/quarterly performance data and reports against standards of quality and productivity.Conduct employee counseling and disciplinary actions if required.Employee DevelopmentEnsure training and development plans are in place for every employee and are complied to.Support the Administration leadership development and succession planning programmes by actively identifying the high potentials.Project workTo contribute to the effective rollout of Business Unit Administration or cross-functional projects, through contribution of professional expertiseParticipate in internal Credit Control projectsEnsure achievement of action points assigned.
