We are seeking an experienced and proactive Office Administrator to oversee and manage day-to-day administrative tasks, ensuring our office runs smoothly and efficiently. This role is vital to maintaining an organised, productive, and positive work environment. Key Responsibilities:

  • Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.
  • Oversee, schedule, and assign staff to different projects.
  • Handle incoming and outgoing communication, including phone calls, emails, and mail.
  • Handle customer inquiries and resolve issues promptly in collaboration with the management, maintaining high levels of customer satisfaction.
  • Manage the executives calendar, including scheduling and coordinating appointments and meetings.
  • Manage office supplies inventory, ordering, and maintaining stock levels.
  • Organize and coordinate meetings, appointments, and travel arrangements for staff.
  • Assist with document management, including filing, data entry, and maintaining company records.
  • Process invoices, expenses, and payments in collaboration with the accounting team.
  • Coordinate with building management for office maintenance and repairs
  • Support the HR management in tasks such as managing employee records.
  • Coordinate with external vendors and service providers for office maintenance and other needs.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Perform general office support and other administrative duties as assigned.
