Job Description

Job PurposeAssist the Regional HR team to manage HR Administration activities for branch employees. Compile HR Documents and reports. Ensure accurate records are kept and updated as per Company polices, procedures and standards. Responsible for all day-to-day Administration process in relation to work-related documentationContribute to the delivery of seamless and effective HR operational support, through the provision of high-quality coordination and administration.˙Responsibilities

  • Responsible for end-to-end HR Administration related process which includes involvement in recruitment activities, visa documentation, medical insurance, employee file management (physical and digital) etc.
  • Ensure that offshore mobilisation related documentation is ready prior to expiries and as service delivery requirements.
  • Support administration process for recruitment & on boarding of new starts, and employee exit/ offboarding of leavers.
  • Accountable for all incoming and outgoing HR administration related documents for the Organisation.
  • Engage with Regional Head of HR to prepare monthly administration related look ahead reports to plan document renewals etc.
  • Collaborate with relevant stakeholders to ensure that all administration related document expiration is notified, and scheduled as per staff availability, prior to expiry.
  • Handle administration related process for secondments or short-term assignments to other branches.
  • Update and maintain HRMS system related to process management.
  • Other administrative tasks may include data-entry, photo copying, scanning, filing, bulk emailing and distribution of documents.
  • Provide HR Administration support, guidance and implement requests received from employees and function manager/ site supervisors, in line with established HR & Administration processes, policies and procedures.
  • Support recruitment and selection of advertised positions, which includes sourcing, references, scheduling interviews, completing follow-up documentation, onboarding etc.
  • Support employee leavers process and offboarding.
  • Assist HR Team with HR related case work and HR projects.
  • HRMS management & maintain HR database and employee files to ensure the accurate and confidential administration of all employee details, where applicable.
  • Manage sensitive and confidential matters of HR information, data and files, in line with data protection, HR standards and processes.
  • Processing monthly payroll for the region.
