This position requires strong organizational skills, attention to detail, and a professional attitude to handle a variety of tasks effectively.Key Responsibilities:Administrative Support:•Answer and direct phone calls, take messages, and handle correspondence.•Greet and assist visitors, clients, and other guests with a friendly and helpful demeanor.•Manage and organize office files, records, and documents to ensure they are easily accessible.•Coordinate schedules, appointments, and meetings for staff and management.•Assist with office supply management, including ordering, stocking, and maintaining inventory levels.Communication and Coordination:•Prepare and distribute internal and external communication, including memos, emails, and letters.•Act as a liaison between different departments to facilitate communication and collaboration.•Assist in the preparation and distribution of company documents, such as reports, presentations, and proposals.Data Entry and Record Keeping:•Maintain and update contact lists, employee directories, and other important records.•Enter and retrieve information from databases and spreadsheets.•Handle confidential information with integrity and discretion.Office Maintenance:•Ensure the office environment is clean, organized, and well-maintained.•Coordinate with building management or maintenance staff as needed for repairs or improvements.•Organize and oversee office events, lunches, and other gatherings.Support for Management:•Provide administrative assistance to managers and executives as needed.•Arrange travel and accommodations for management or staff when required.•Prepare meeting agendas, take minutes, and distribute follow-up notes.Customer Service:•Respond to customer inquiries or direct them to appropriate personnel.•Ensure high-quality customer service and handle customer concerns professionally.Qualifications and Skills:•Education: High school diploma or equivalent required; additional certification in office administration or a related field is a plus.•Experience: Proven experience in a similar role, preferably in an office setting.Skills:•Strong written and verbal communication skills.•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).•Excellent organizational and time-management skills.•Ability to multitask and prioritize in a fast-paced environment.•Professional attitude and appearance.•Attention to detail and problem-solving skills.Working Conditions:•Standard office environment with occasional need for overtime.•May require lifting of light office supplies and equipment.•This role is ideal for someone who is proactive, reliable, and efficient, with a genuine interest in contributing to a well-functioning office environment.
