Manager, Auxiliary Services | |Position DetailsPosition Information Position Type Professional Staff Faculty Track Position Title Manager, Auxiliary Services Employment Status Full Time Months 12 Campus Biddeford, ME Description The UNE Campus Mailroom/Copy Center provides a vital roll in the day to day operation of the University. From receiving USPS mail and packages along with other UPS and FEDEX packages and delivering out to all departments and students mailboxes; to running copies and lab manuals for the UNE Community, the UNE Campus Mailroom/Copy Center is the one stop shop for all the University?s mail and copy needs. The Center is part of the Division of Campus Services whose mission is to ensure customer-friendly, student-oriented support services and provide a safe, functional, energy-efficient, comfortable, and aesthetically pleasing environment to allow the University of New England to fulfill its mission. The Manager oversees provision of mail and copy services to the University; coordinates vending and fax services; acts as buyer for paper and stationery supplies for the University. Fills in as needed to assure that services are provided accurately and promptly. Responsibilities * Responsible for departmental marketing and sales.* Responsible for departmental budget administration.* Responsible for vendor contract negotiation and management.* Responsible for purchases of departmental goods and services.* Ability to create and solicit vendor Request for Proposals.* Performs accounting for all fax machines on the University Campus, accounts for copy center usage and reports department usage to Business Services.* Verifies compliance of USPS regulations and assures that all mail and packages are delivered to departments in a timely and accurate fashion, and that outgoing mail is processed in an accurate and timely manner.* Performs accounting for Mail Services / Copy Center and reports department usage weekly to Business Services; maintains postage meter and postage supplies.* Works with UPS , FedEx, DHL daily and reports department usage to Business Services monthly.* Provide direction and training to all mail and copy center staff and work-study students.* Assists in hiring and schedules all staff and students in Mail Services and Copy Center.* Participates in various professional organizations and attends workshops and conference.* Commit to actively fostering a welcoming culture of inclusion and diversity.* Understands and complies with MSDS and HAZCOM procedures and policies as part of UNE?s comprehensive OSHA compliance program.* Completes University new employee orientation and sexual harassment training within 30 days of the date of hire.* Understand and comply with the University of New England Safety Manual.* Performs related duties as necessary. Qualifications Bachelor?s degree in business management plus 3 to 5 years relevant experience, or a combination of education and experience from which comparable knowledge and skills are acquired. * Good basic administrative, bookkeeping, and organizational skills.* Good customer service skills.* Knowledge of computer software (Microsoft Office (Word & Excel).* Experience in operating and performing preventive maintenance of complex copy systems and other printing and mail services machinery preferred.* Good basic supervisory skills.* Ability to prioritize work.* Ability to deal effectively with a wide variety of University personnel, students and/or outside individuals.* Ability to maintain confidentiality.* Minimal supervision is received from the Director of Facilities Management.
